Job Title: Admin Support (General Practice/Primary Care)

Work Details
- Job Type: Part-time (20 hours per week)
- Flexible eligibility for:
- Day shifts
- Evening shifts
- Monday to Saturday (including evenings)
- Flexible eligibility for:
- Salary: £12.71–£13 per hour (Dependant on Experience)
- Start Date: Immediate start preferred
- Location: On-site
- Work Authorisation: UK-based (DBS check required)
Job Overview
Provide comprehensive administrative support to the clinical team while ensuring a positive and professional service experience for patients, visitors, and healthcare professionals.
- Offer full administrative support to company projects and team operations
- Assist and direct patients to appropriate services or healthcare professionals via phone or in person
- Execute a range of administrative duties toOptimise clinic operations (including clinical staff support)
- Facilitate patient–practice–secondary care communication to coordinate care effectively
Duties & Responsibilities
General Administrative Support
- Open/lock site premises as required, adhering to security protocols
- Maintain appointment systems for full operational transparency
- Proactively call patients to schedule, reschedule, or cancel appointments
- Process and direct telephone enquiries to the correct professionals
- Update and manage patient records in strict accordance with administrative and data protection guidelines
- Take and disseminate messages appropriate for team members and external contacts

Operational & Cleaning Duties
- Ensure consulting rooms on Hub sites are clean and restocked
- Handle clinical waste disposal) professionally and hygienically
- Maintain a clutter-free workspace and organised noticeboards
Collaboration & Improvements
- Attend team meetings and propose process improvements
- Monitor the efficiency of appointment management and escalate issues to the Project Manager
- Participate in pilot initiatives as needed
- Collaborate with colleagues to ensure smooth clinic operations
Patient Care & Communication
- Provide exceptional customer service to patients and external stakeholders
- Manage phones with clarity, efficiency, and professionalism
- Act as the first point of contact for patient enquiries and concerns
Medical Records Management
Responsibilities
- Register patients in EMIS Community with accuracy
- Schedule, reschedule, and cancel appointments effectively
- Direct incoming calls from patients, GP practices, and external agencies with professionalism
- Maintain clear and up-to-date records including personal details, appointment histories, and medical information

Electronic Reporting
- Generate and distribute discharge summaries and referral forms electronically
- Assist with periodic audits to ensure record accuracy
Confidentiality Commitments
The role requires strict adherence to patient and organisational confidentiality:
- Safeguard all patient/carer information across verbal, digital, or physical channels
- Comply rigorously with data protection regulations
- Identify strictly on a need-to-know basis, sharing organisational or colleague data only with authorised personnel
Experience & Skills
Essential Requirements
- Experience in General Practice settings
- Medical receptionist skills with effective telephone management
- Confidence in administrative tasks under tight deadlines
- Expertise with EMIS software
- Self-sufficiency with minimal direction
Desirable Skills
- Customer service experience outside of healthcare
- Previous engagement with patient interaction and support roles
- Knowledge of medical record management best practices
- Multilingual skills for diverse patient engagement
- First Aid or basic life support qualifications
A relationment toward high patient interaction requir fnality and an organisational work.
