Admin and Waiting List Co-ordinator – Dermatology Team

About the Role

We are seeking to recruit an admin and waiting list co-ordinator based within the Dermatology team to provide comprehensive and high-quality administrative and clerical support, ensuring an effective and efficient service is delivered within our cancer and surgery waiting lists. This role will contribute to ensuring patients are treated with courtesy, dignity and respect.

There may be potential for this role to become a substantive opportunity.

The position is based within the Winnicott Centre, with duties carried out in this area. The successful candidate will be expected to develop professionally and provide continuity of cover by supporting other admin duties across the wider team.

Core Responsibilities

User Service Centre (USC) Referral Coordination

  • Ensure all USC referrals are booked in a timely manner to the appropriate clinics, including photo hubs and face-to-face appointments.
  • Review, print, and prioritise USC proformas and minor OP forms based on lesion urgency and risk, directing them to relevant clinics.

Epic & Waiting List Management

  • Enter all information accurately and in a timely manner.
  • Manage EPIC lists daily and escalate any capacity issues to the Co-ordinator, ensuring staff are informed of current waiting list times.
  • Monitor waiting lists and Patient Tracker List (PTL) information, initiating appropriate follow-ups and reallocations to avoid breaching Referral to Treatment (RTT) and Faster Diagnosis Standard (FDS) targets.

Clinic Coordination

  • Ensure clinics are fully booked while maintaining the correct procedure times.
  • Ensure all team members have a clear understanding of procedures affecting waiting list management, including updating them on changes in protocol.

Patient Booking & Notification

  • Ensure new and follow-up patients awaiting Minor Operation appointments are partially booked in line with specific clinical rules.
  • Provide patients with sufficient notification of their appointments as per guidelines.

Department Overview

The Dermatology Department comprises:

  • Dermatology consultants
  • Specialist doctors and nurses
  • Secretaries and reception/secretarial assistants
  • A Practice Manager and Team Leader

All team members are based in the Winnicott Centre on the Annexe site.
