Role Description

The Administration Assistant is a full-time role based in Glasgow with a hybrid working arrangement, combining office-based work with some work from home. The role involves providing administrative support to project teams and leadership, including:

Day-to-day responsibilities also include:

  • Supporting office operations
  • Coordinating internal and external meetings and events
  • Ensuring timely completion of administrative tasks that contribute to smooth project delivery and client service

The role requires proactive communication with colleagues and stakeholders, and a high level of attention to detail and confidentiality.

Qualifications

  • Strong administrative and organizational skills, including experience with calendar management, document handling, and record keeping
  • Proficiency with office software and digital tools (e.g., Microsoft Office or similar suites, shared drives, online collaboration platforms)
  • Effective written and verbal communication skills, with the ability to draft emails, reports, and basic presentations
  • Attention to detail and accuracy in data entry, formatting, and quality checking of documents
  • Ability to manage multiple tasks, prioritize workload, and meet deadlines in a dynamic, project-focused environment
  • Comfort working in a hybrid setup, with the ability to work independently and collaboratively, both in the Glasgow office and from home
  • Customer and stakeholder service mindset, with a professional, inclusive, and respectful approach in all interactions
  • Experience in a similar administrative or office support role; exposure to sustainability, energy, technology, or consulting environments is beneficial
  • Relevant education or training in business administration, office management, or a related field is an advantage
