Administration Assistant – Customer Service Support

Location: ALS Coventry Hours Per Week: 37 Days Per Week: Monday to Friday Basis: Full Time and Permanent Closing Date: Thursday 9th July 2026 Annual Salary: £25,879 Hiring Manager: Meera Dass


About the Role

As an Administration Assistant in our Customer Service department, you’ll play a crucial role in ensuring seamless sample management, prompt customer requests, and operational efficiency.

The Role in Detail

You will be responsible for:

  • Pre-registering customer samples for testing and analysis
  • Arranging and coordinating collections/deliveries of samples & materials
  • Supporting the Customer Service team to meet and exceed client expectations
  • Ensuring compliance with quality and regulatory standards

Please note: This role requires experience in a fast-paced, commercial administrative setting, particularly within industries with high scrutiny and data regulation.


Day-to-Day Responsibilities

  • Document Handling: Scanning, filing, and securing sensitive laboratory documentation
  • Data Management: Inputting, maintaining, and analysing data in Microsoft Excel
  • Logistics Coordination: Booking sample collections, bottle deliveries, and lab requisitions
  • Customer Support: Resolving inquiries, referring non-routine queries, and escalating anomalies
  • Phony Support: Handling incoming calls and providing clear, accurate service responses
  • Invoicing & Accounts: Raising credit notes and manual customer invoices
  • Reporting: Supporting the accurate collation and distribution of test results
  • Ad-hoc Tasks: Flexible contributions to ensure operational excellence per ALS business directives

Essential Requirements

  • Administrative Experience: Proven track record in an office environment, preferably within a commercial organisation
  • Attention to Detail: Exceptional skills in ensuring accuracy, compliance, and smooth workflows
  • Organisational Skills: Ability to prioritise tasks, manage deadlines, and adapt to demands
  • Technical Proficiency: Competency with MS Office and IT systems (database platforms, reporting tools)
  • Communication Skills: Strong written & verbal communication to interact effectively with customers and colleagues
  • Team Collaboration: Willingness to backfill peers, offering support across teams
