Administration Assistant
Administration Assistant – Oncology Unit (Permanent, Full-Time, 40 Hours/Week)
Location: St. James’s Hospital, Leeds Salary: £27,230 per annum Benefits Package: Included
About the Role
Equans is seeking an Administration Assistant to support the Estates & Oncology services at St. James’s Hospital, working in a permanent, full-time capacity (40 hours per week).
This critical role ensures smooth administration, enabling the efficient delivery of Equans’ services in a fast-paced healthcare environment. You’ll assist with procurement, finance, secretarial tasks, helpdesk support, and document control, providing full end-to-end support to the team.
Key Responsibilities
Financial & Administrative Support
- Process invoices, raise purchase orders via internal systems, and ensure accuracy of financial records.
- Compile data for monthly and annual reports.
- Handle payroll and expense calculations, including processing overtime payments.
- Perform monthly contractual invoicing to meet compliance obligations.
Secretarial & Helpdesk Support
- Manage purchasing requests, handle calls, take messages, and address queries.
- Provide secretarial support, including typing memos, updating spreadsheets, drafting meeting minutes, and preparing reports.
- Maintain both electronic and paper-based record-keeping systems.
- Organise training programmes, accommodate travel/visas as needed, and arrange applications.
Proactive Engagement
- Support internal and external reporting on compliance, budgets, and operations.
- Contribute proactive ideas in meetings to improve administrative processes.
- Represent the team professionally, building strong relationships with both internal stakeholders and external customers.
Confidentiality & Policy Adherence
- Comply with Equans’ Code of Conduct, data protection, and confidentiality policies.
- Support compliance initiatives and ensure all work aligns with company standards.

Who You Are
Essential Qualifications
- Great people skills – able to interact professionally with colleagues and clients.
- Proficiency with Microsoft applications: Outlook, Word, Excel (including Advanced formulas), and PowerPoint.
- Enhanced DBS check (Barred Lists cleared) – Mandatory for this role.
- Must have the right to work in the UK.
- Good time management and ability to thrive in a fast-moving environment.
Desirable Experience
- Previous experience as an Administration Assistant, Secretary, or Finance Coordinator.
- Familiarity with procurement systems or customer service roles.
- Experience with payroll or expense processing (benchmarkingstown, dates may vary).
- Exposure to healthcare or medical administration processes (additional asset).
