Administration Assistant

Job Title: Administration Assistant

Location: Central Car Auctions, Baillieston, Glasgow

Hours (Full Time)

  • Monday, Wednesday & Friday: 8:30 AM – 6:00 PM
  • Tuesday & Thursday: 8:30 AM – 5:30 PM

About The Role

We are looking for an Administration Assistant to support the Central Car Auctions by managing day-to-day administrative tasks, including:

  • Processing payments and paperwork
  • Supporting customers both in-person and via telephone
  • Providing clerical support in a fast-paced environment

You will ensure vehicles are accurately tracked in stock, documentation is meticulously checked, and all systems operate efficiently.


Day-to-Day Duties

  • Data Entry: Accurately book vehicles into stock
  • Payments: Process associated financial transactions
  • Customer Service: Interact with customers face-to-face and over the phone
  • Documentation: Verify and match all vehicle paperwork
  • Communication: Handle inquiries via email or telephone
  • Filing: Organise physical and digital filing systems
  • Reporting: Update relevant administrative reports
  • Coordination: Liaise with all departments to meet auction schedules
  • General Administration: Ad-hoc tasks as required by the team

Essential Skills & Requirements

  • Exceptional accuracy and ability to multi-task under pressure
  • Strong communication skills (oral and written)
  • Proficiency in computer systems with experience using:
    • Microsoft Word
    • Microsoft Outlook
    • Microsoft Excel
  • Enthusiasm for working with the public in person and over the phone
  • Ability to work independently while contributing as part of a larger team
  • Excellent organisation, deadline awareness, and commitment to task completion
