Administration Lead (Oxford)

Administration Lead – Oxford Cancer Care Centre – GenesisCare UK

Location – Oxford, UK (state-of-the-art cancer care centre) Contract – Full-time (37.5 hours/week, Monday–Friday) Role Type – On-site (no homeworking)


## About the Role

As Administration Lead, you’ll lead the centre administration team, providing professional, efficient, and compassionate support in a fast-paced cancer care environment.

This role is ideal for an enthusiastic, organised, and patient-focused professional who thrives in a multidisciplinary setting, working closely with clinical teams, consultants, and hospital partners.

You’ll have the opportunity to:

## Responsibilities

Line Management & Team Leadership

  • Manage rotas, 121s, and annual performance reviews for the admin team
  • Lead training, mentoring, and professional development for new staff
  • Foster strong internal and external relationships with consultants, service heads, and hospital partners

Operational & Administrative Duties

  • Support patient referral pathways in collaboration with consultants and secretaries
  • Ensure smooth administrative functions (scheduling, records, policy compliance)
  • Partner with Patient Administration Lead UK to optimise patient journeys
  • Lead Operational Excellence reviews, driving efficiency and data-driven decision-making
  • Chair admin meetings and provide updates in monthly staff gatherings

Patient-Centric Care & Compliance

  • Oversee patient feedback and complaints, ensuring adherence to company policy
  • Investigate Datix incidents with root-cause analysis
  • Maintain strict confidentiality per GenesisCare policies and legal requirements (GDPR, Data Protection Acts)
  • Manage administrative costs related to patient pathways

Operational & Regulatory Support

  • Assist the Centre Leader in CQC inspections, facilities management, and regulatory compliance
  • Occasionally work on-call/priorities to resolve crises with minimal disruption
  • Comply with departmental protocols and hospital partner policies

Continuous Improvement & Culture

  • Lead continuous improvement in admin practices
  • Champion GenesisCare values (integrity, compassion, innovation)
  • Ensure adherence to company standards in appearance, behaviour, and communication

## Requirements

Essential Criteria

  • Experience in line management of small teams -Strong track record in administrative roles, preferably within healthcare or patient-focused services -Excellent verbal and written communication skills -Preference for those with healthcare sector experience -Ability to build and maintain professional relationships with diverse stakeholders

Desirable

  • Experience handling patient complaints and sensitive enquiries
  • Empathetic approach to patient care
  • MOSAIQ IT package experience (advantageous)
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Knowledge of healthcare information systems or patient pathway optimisation
