Administration Lead (Oxford)

Administration Lead | State-of-the-Art Cancer Care Centre, Oxford (GenesisCare UK)

Join our dedicated team at GenesisCare UK and play a pivotal role in transforming cancer care through an Administration Lead position at our Oxford centre. This is an on-site full-time (37.5 hrs/week) opportunity with no homeworking, focused on line management, operational excellence, and exceptional patient support—from Monday to Friday within our state-of-the-art facility.


## About the Role

In this Administration Lead role, you will:

  • Supervise the centre administration team, providing professional, accurate, and timely support for daily operations.
  • Balance direct administrative work with line management, including rota coordination, 1:1 performance reviews, and goal-setting aligned with company objectives.
  • Champion GenesisCare’s values and ensure they are reflected in every aspect of administration—from team collaboration to patient interactions.
  • Collaborate across multiple stakeholders, including Centre Leaders, clinical teams, Consultants, and external partners, to produce efficient, high-quality care.

## Responsibilities

Your core focus will include:

### Patient & Operative Efficiency

  • Support patient referral pathways, working with consultants and secretaries to ensure seamless transitions.
  • Drive continuous improvement in administrative processes—from Datix incident investigations to root cause analyses—to resolve issues proactively.
  • Manage patient feedback and complaints in compliance with GenesisCare policies, safeguarding confidence in our services.
  • Oversee pathway-related administrative costs, optimising resource allocation without compromising care quality.

### Team Leadership & Development

  • Lead and manage a small administration team, including ranging rotas, weekly huddles, and monthly/annual performance reviews.
  • Train and mentor new staff, fostering a culture of competence and teamwork.
  • Chair distribution meetings and present admin updates during staff gatherings to ensure full visibility.

### Compliance & Quality Assurance

  • Maintain strict data security—ensuring patient confidentiality aligns with GenesisCare policies and statutory legislation.
  • Lead CQC inspections, facilities management tasks, and other operational compliance duties in partnership with the Centre Leader.

### Process & Technology Alignment

  • Develop a deep understanding of all referral pathways within the centre, working to optimise workflows alongside the UK Patient Administration Lead.
  • Participate in Operational Excellence reviews, leveraging data-driven insights to enhance efficiency.
  • Provide tech support in tasks requiring knowledge of MOSAIQ IT package (advantageous if experienced), alongside full proficiency in Microsoft Office Suite.

### Flexible & Supportive Role

  • Sometimes work out-of-hours to resolve urgent operational or patient service disruptions.
  • Represent GenesisCare’s professional standards in conduct and demeanour—balancing empathy, whole-patient care, and compliance.

### Additional Duties

  • Ensure updated patient records are maintained accurately and in line with GenesisCare’s approved processes.
  • Follow departmental policy adherence, including policies from partnered hospitals.
  • Complete mandatory training as required.
  • Additional duties may arise in line with business needs—noting the role’s holistic and adaptable nature.

## Requirements

Successful applicants will demonstrate:

Core Competencies

  • Proven line management skills (tutoring, team empowerment, conflict resolution where needed).
  • Healthcare administration experience, traditionally within oncology, cancer care centres, or similar patient-facing environments.
  • Exceptional verbal and written communication skills, reflecting the role’s ongoing collaboration with clinical specialists.
  • Strong resolution mindset—record of handling completable complaints with fairness.
  • Customer-focused Approach—prioritise patient needs, understanding their holistic experience.

Personal Attributes

  • Empathetic, supportive with a commitment to personalised care.
  • Culturally awareness of diverse stakeholders, from healthcare professionals to service users.
  • Adaptable and proactive in chemistry Creation’s fast-evolving environment.

Software Confidence

  • Fully proficient in Microsoft Suite, familiar with Excel for reporting and Outlook/PowerPoint for presentations.
  • MAOSIQ IT package experience is advantageous (not mandatory).
