Administration Officer (ArtForms)
Salary: NJC B3: £26,403 - £28,142
Hours: 37 hours per week
Contract: Temporary for 6 months (in the first instance)
Location: ArtForms office, Pudsey Civic Hall
As an Administration Officer for ArtForms, you’ll play a crucial role in ensuring the service runs smoothly, overcoming administrative challenges, and supporting the teaching team to deliver their roles effectively.

About the Role
The Administration Officer will provide data-entry, desk-based administrative support, and creative problem-solving to help our teaching team fulfil their objectives. Working closely with colleagues, you’ll assist in developing and refining existing processes—including our bespoke database—to enhance efficiency.
This role is essential for supporting ArtForms’ music tuition programme in Leeds schools, academies, and performance spaces. The effectiveness of our administrative team directly contributes to the success of our outreach efforts.
Primarily office-based, this position includes school visits,.musical events, and participation in instrument storage management.
Key Responsibilities
- Developing & optimising systems: Improve existing service processes, including our bespoke database, to streamline operations.
- Microsoft Office proficiency: Maintain a high level of expertise in MS Office tools and have the capacity to learn additional council-specific software.
- Training support: Contribute to informal training sessions for colleagues to enhance能力.
- School & venue engagement: Attend Leeds schools, performance spaces, and music centres to support our tuition programme.
- Data management: Input, analyse, and collate numerical/alphabetical data to generate reports.
- Customer & stakeholder liaison: Initiative and problem-solving in dealing with client inquiries and internal colleagues.
- Meetings & diary organisation: Handle scheduling, meetings, and calendar coordination effectively.

Requirements
Qualifications
- Essential: Minimum of GCSE Maths and English (Grade C or equivalent) or higher-level equivalent.
Essential Skills & Experience
- Interpersonal skills: Strong face-to-face, phone, and written communication abilities.
- Team collaboration: Experience in working within teams and suggesting innovative methods to improve operations.
- IAS&B initiative: Ability to operate independently, meet deadlines, and take accountability for outcomes.
- Technical knowledge: Proficiency in MS Office software and familiarity with among council-specific systems to record, retrieve, and manage data.
- Customer service: Experience in delivering high-quality service and handling challenging situations professionally.
