Summary:

The Administrative and Finance Officer plays a vital role in supporting the organization’s financial integrity and operational efficiency. This entry-level position is designed for a detail-oriented professional eager to build a career in nonprofit finance and administration. The incumbent will assist in managing day-to-day financial operations, maintaining compliance with internal policies and donor regulations, and ensuring smooth office functioning. With hands-on experience in budget tracking, financial documentation, and administrative coordination, the officer contributes directly to the organization’s accountability and mission-driven impact.

Responsibilities:

  • Assist in the preparation, monitoring, and reporting of project budgets, including tracking expenditures against approved allocations.
  • Process daily financial transactions, including payments, petty cash disbursements, and bank reconciliations.
  • Maintain accurate and organized financial records, including invoices, receipts, and supporting documentation.
  • Support the preparation of monthly and quarterly financial reports for internal management and donor submissions.
  • Assist in audit readiness by organizing financial vouchers, documentation, and compliance records.
  • Manage office supply inventories, vendor contracts, and procurement of goods and services.
  • Maintain digital and physical filing systems for financial and administrative documents.
  • Coordinate logistics for meetings, workshops, and staff travel arrangements.
  • Support asset and inventory management, including updating the asset register and conducting periodic reconciliations.
  • Provide general administrative support to program and operations teams as needed.
  • Ensure compliance with organizational financial policies and donor-specific requirements.
  • Assist in implementing and maintaining internal control procedures to safeguard organizational resources.
