Job Title: Administration Assistant

C9 Recruitment are currently recruiting for an experienced Administration Assistant to join one of our valued clients based at Stansted Airport.

This is an excellent opportunity for an organised, proactive and confident administrator to support a busy operational management team within a fast-paced transport environment. The successful candidate will play a key role in ensuring the smooth day-to-day running of the operation by providing high-quality administrative support and coordinating effectively with drivers, managers and internal departments.

Key Responsibilities

Operational & Driver Support

  • Act as a first point of contact for drivers, Duty Managers, and operational staff.
  • Handle incoming calls, queries, and driver updates throughout the day.
  • Chase outstanding information, documentation, or operational actions as required.
  • Support Duty Managers with daily driver allocations, shift changes, and communication updates.
  • Maintain accurate driver records, compliance documents, and operational logs.

General Administration

  • Manage inboxes, calls, and general enquiries professionally and promptly.
  • Prepare, update, and maintain operational documents, trackers, and spreadsheets.
  • Assist with onboarding tasks for new drivers (document collection, system updates, induction scheduling).
  • Maintain filing systems, SharePoint folders, and document control.
  • Raise purchase orders, process invoices, and support basic finance admin.
  • Produce daily/weekly reports for management, including operational performance and driver updates.
  • Support meeting preparation: agendas, minutes, action tracking.

Coordination & Communication

  • Liaise with internal departments (HR, Operations, Planning, Compliance) to ensure smooth information flow.
  • Communicate clearly and professionally with drivers, managers, and external partners.
  • Support the management team with ad hoc tasks, urgent requests, and operational problem-solving.
  • Help coordinate uniform orders, equipment, site supplies, and operational resources.

Systems & Tools

  • Confident use of Microsoft Office, especially Outlook, Word, and Excel.
  • Update internal systems, trackers, and databases accurately and on time.
  • Support the creation of simple reports, templates, and operational documents.

Skills, Knowledge & Experience

Essential

  • Strong administrative background in a busy environment.
  • Confident communicator – verbal and written – able to speak with drivers, managers, and external partners.
  • Good working knowledge of MS Office (Outlook, Word, Excel).
  • Ability to manage multiple tasks, prioritise effectively, and maintain pace.
  • High attention to detail and accuracy in all admin work.
  • Proactive, flexible, and comfortable supporting ad hoc operational needs.
  • Experience maintaining databases, trackers, or filing systems.
  • Ability to draft clear, concise, and professional correspondence.

Desirable

  • Background in transport, logistics, warehouse, or retail operations.
  • Experience supporting operational teams or shift-based environments.
  • Experience with compliance documentation or driver onboarding.
  • Any additional computer literacy or admin qualifications.
