Administrative Assistant

Job Summary:
Provide PA and Administrative support for Senior Management and administrative support on an as-needed basis for other areas of the business.
Job Responsibilities:
- PA support, including arranging internal and external meetings, booking travel, gatekeeping, processing expenses, etc
- General admin support to the teams including organising flight, hotel and taxi bookings through a dedicated travel agency
- Attendance at meetings which require preparation of agendas, collation of reports and the taking of accurate minutes
- Arranging ad-hoc meetings, sometimes off-site, including organising catering
- Raising purchase orders
- Tracking team travel and approval of invoices
- Project support during implementation period including document management, control of project intranet page (SharePoint), minute taking at project reviews
- Reception cover for full-time receptionist during breaks/holidays etc. (shared with rest of Administrative Services Group (ASG))
- General support as part of ASG team
- Provide additional cover for other administrative staff during absences or when assisting with specific projects and ad-hoc tasks
- Assist in the organisation/coordination of Company events
- Act on behalf of the team as a liaison between internal departments, offices and customers

Required Skills and Experience:
- Previous Admin/PA experience is essential, preferably in an international company
- Experience of supporting multiple managers
- Knowledge of supporting a Sales team is desirable
- Strong administration, planning and organisational skills
- Good written and oral communication
- Ability to produce accurate and professional written documentation, particularly on MS Word
- Experience using AI-powered productivity tools such as Microsoft 365 Copilot, ChatGPT, or similar platforms to support document creation, data analysis, presentation development, meeting preparation, and administrative workflows.
- Ability to write clear, effective prompts and instructions to generate accurate, relevant, and business-appropriate outputs from AI systems.
- Ability to evaluate, verify, and refine AI-generated content to ensure accuracy, professionalism, confidentiality, and alignment with business requirements.
- Strong understanding of responsible AI usage, including data privacy, information security, and appropriate handling of confidential business information.
- Self-starter who can be proactive and forward thinking but can also react quickly to urgent situations
- Good working knowledge of MS Word, Excel, Outlook, and PowerPoint
- Knowledge of SharePoint advantageous
- Previous project support beneficial
- Ability to multi-task
