Administrative Assistant

About Us

We are a digital agency providing website development, digital marketing and support services to businesses across a range of industries. We are looking for an organised and reliable Administrative Assistant to support the day-to-day running of the business.

About the Role

This is a varied administrative role working closely with the Company Director. You will assist with client communications, administration, project coordination and general office duties, helping to ensure the business operates efficiently on a day-to-day basis.

The successful candidate will be highly organised, have excellent attention to detail and be comfortable managing a range of tasks while maintaining a professional approach when dealing with clients and colleagues.

Key Responsibilities

  • Answering incoming telephone calls and handling enquiries in a professional manner.
  • Acting as a first point of contact for clients and directing enquiries where required.
  • Assisting with the onboarding of new clients.
  • Maintaining and updating client records and internal systems.
  • Responding to client enquiries and providing updates where required.
  • Managing inboxes and directing enquiries appropriately.
  • Assisting with project administration and tracking the progress of ongoing work.
  • Liaising with internal team members to ensure information is communicated effectively.
  • Scheduling meetings and maintaining diaries.
  • Reviewing information and documentation before it is shared with clients.
  • Monitoring ongoing projects and following up with clients and team members to keep work moving forward.
  • Assisting with the scheduling and management of social media content.
  • Supporting website content updates and other digital administrative tasks where required.
  • Supporting the Company Director with day-to-day administrative tasks.
  • Raising and issuing client invoices.
  • Assisting with the management of invoice records and payment tracking.
  • Liaising with clients regarding invoices and outstanding payments where required.
  • Assisting with the maintenance and improvement of internal processes.
  • Providing general administrative support across the business.

  • Excellent organisational skills.
  • Strong written and verbal communication skills.

  • Ability to remain professional and calm when dealing with challenging enquiries.
  • Good attention to detail.
  • Ability to prioritise tasks and manage workload effectively.
  • Professional and confident manner.
  • Good knowledge of Microsoft Office, including Word, Excel and Outlook.
  • Ability to work independently and as part of a team.

Desirable

  • Previous experience in an administrative or office-based role.
  • Experience using CRM.
  • Experience dealing with customers or clients.
  • Experience using social media platforms in a business environment.
  • Experience using WordPress to update and manage website content.
  • Knowledge of websites, digital marketing or online systems would be advantageous but is not essential.
