Admin Support – Design Your Garden (Guildford)

Design Your Garden is a growing garden design and build company based in Guildford, and we’re looking for an organised, proactive Admin Support professional with experience in the landscape or construction sector. You’ll support our design and site teams across daily operations, client communication, and project administration.

Key Responsibilities

  • Contract creation & management, drafting client contracts, subcontractor agreements, supplier terms, and ensuring all documents are signed and stored correctly
  • Tender preparation, collating pricing, preparing submission packs, managing deadlines, and supporting design/build tender bids
  • Xero financial admin, invoicing, reconciling payments, raising purchase orders, managing payment schedules, CIS deductions, and weekly subcontractor payments
  • Project documentation, maintaining job folders, drawings, specifications, schedules, and compliance documents
  • Client communication, sending updates, booking site visits, issuing contracts, and managing onboarding documents
  • Team support, assisting designers and site teams with admin tasks, scheduling, and daily operational needs
  • Compliance & record keeping, ensuring insurance documents, RAMS, warranties, and certificates are filed and up to date
  • General office administration, email management, calendar scheduling, filing, printing plans, and maintaining organised digital systems
  • Client & supplier coordination
  • Maintaining organised digital filing, job folders and project records

  • Experience in a landscape, garden design, or construction environment
  • Strong understanding of contracts, invoicing and financial workflows
  • Confident using Xero and Microsoft Office
  • Excellent communication and attention to detail
  • Ability to work independently and support a fast-moving project team
