Administrative Assistant – Full-Time (Uxbridge)
Company Description
Harshil Captures LTD specializes in photography, cinematography, and concert event coverage, transforming real moments into cinematic visual stories. The team focuses on capturing emotion, energy, and unforgettable experiences across live performances, events, and creative shoots. Working closely with artists, brands, and individuals, the company delivers visually compelling content that highlights each client’s unique story. The environment is fast-paced, collaborative, and creatively driven, offering opportunities to support dynamic productions and on-site shoots.
Role Description
This is a full-time, on-site Administrative Assistant role based in Uxbridge.
Key Responsibilities
- Manage day-to-day office operations, including:
- Handling phone calls and voicemails
- Responding to emails and managing communications
- Scheduling meetings and coordinating team calendars
- Maintain office systems, such as:
- Organizing physical and digital files
- Managing records and project documentation
- Preparing basic reports and administrative support papers
- Ensure availability of supplies and equipment for shoots and events
- Support client correspondence, handling enquiries with professionalism
- Coordinate logistics for shoots and concert coverage
- Provide executive administrative support to leadership as needed

Requirements
Skills & Qualifications
- Strong administrative and clerical skills, including:
- Scheduling, filing, document preparation
- General office coordination
- Exceptional phone etiquette and communication skills to manage calls and client interactions professionally
- Ability to perform executive administrative tasks, including:
- Managing leader calendars
- Coordinating meetings
- Follow-up on action items
- Proven organizational and time-management skills, capable of prioritizing tasks in a fast-paced setting
- Proficiency with standard office software (word processing, spreadsheets, email, calendar tools)
- Familiarity with creative or media workflows is a plus
- Must be able to work on-site in Uxbridge on a full-time schedule
- Confidentiality is paramount
- Excellent teamwork and collaboration skills in a diverse, creative environment

Preferred Experience
- Prior experience in an administrative or office support role
- Background in media, photography, or events is beneficial
