Administrative Assistant

Job Title: Administrative Business Partner

Location: London, United Kingdom
Hourly Rate: £34.62
Working Pattern: Hybrid (3 days in the office)
Contract Duration: ASAP – 9 October 2026
Working Hours: Monday to Friday, 9:00am – 6:00pm

About the Role

We are seeking an experienced Administrative Business Partner to provide high-level administrative and operational support within a fast-paced business environment. This role requires a proactive, highly organised individual who can manage multiple priorities, support senior stakeholders, and coordinate cross-functional activities while maintaining the highest levels of professionalism and confidentiality.

The successful candidate will play a key role in calendar management, travel coordination, event planning, expense management, stakeholder engagement, and project execution, helping to drive operational efficiency and support business objectives.

Key Responsibilities:

Executive & Administrative Support

  • Manage complex calendars, meetings, and scheduling requirements across multiple stakeholders and time zones.
  • Coordinate and prioritise meeting requests, resolving scheduling conflicts and ensuring optimal time management.
  • Prepare meeting materials, agendas, presentations, and supporting documentation.
  • Support note-taking and action tracking where required.
  • Maintain the highest standards of confidentiality and discretion when handling sensitive information.

Travel & Logistics Management

  • Coordinate domestic and international travel arrangements for executives and teams.
  • Organise travel itineraries, accommodation, visas, passports, and pre-travel requirements.
  • Assist with travel agendas and post-travel documentation where required.
  • Remain responsive to urgent travel-related requests and changes.

Expense & Budget Management

  • Process expense reports, invoices, purchase orders, and related documentation.
  • Monitor budgets and support financial administration activities.
  • Ensure accurate and timely completion of expense-related processes.

Event & Programme Management

  • Plan and deliver internal and external events, including team offsites, business meetings, workshops, conferences, summits, and site-wide activities.
  • Coordinate logistics including venues, catering, travel, equipment, entertainment, and vendor management.
  • Act as a primary point of contact for event delivery and stakeholder engagement.
  • Manage multiple projects and events from initiation through to successful completion.

Office & Facilities Coordination

  • Support office space planning and accommodation requests.
  • Liaise with facilities and workplace teams regarding office moves, seating arrangements, and workspace requirements.
  • Contribute to site effectiveness, team culture, and workplace initiatives.

Stakeholder & Relationship Management

  • Build strong working relationships with internal teams, leaders, vendors, and external partners.
  • Support team culture, engagement initiatives, and community activities.
  • Act as a trusted partner to stakeholders, providing operational and administrative support as required.

Required Skills & Experience:

  • Strong experience in administrative, executive support, business support, or coordination roles.
  • Excellent calendar and meeting management skills.
  • Demonstrated experience coordinating domestic and international travel.
  • Strong event planning and project coordination experience.
  • Experience with expense management, invoice processing, and budget administration.
  • Exceptional organisational skills with the ability to manage competing priorities.
  • Strong written and verbal communication skills.
  • Ability to build effective relationships with stakeholders at all levels.
  • Proven ability to handle confidential information with discretion and professionalism.
  • Strong problem-solving skills and ability to work independently with minimal supervision.
