Administrative Assistant

2x Administrative Assistant (Clerk Grade 1-2)

Package Details

  • Salary and Benefits: $75,728 – $82,329 per annum (full-time), plus:
    • Employer contribution to superannuation
    • Annual leave loading
  • Contract Type & Location:
    • 1x Full-time temporary role (until June 2027), Katoomba
    • 1x Part-time temporary role (14 hours/week, until November 2026), Blackheath

About the Organisation

Working with the Department of Climate Change, Energy, the Environment and Water (DCCEEW), you’ll contribute to protecting NSW’s environment and heritage while supporting:

  • Conservation of natural resources

About the Role

Seeking a detail-oriented and collaborative individual to assist in vibrant administrative roles with the NSW National Parks and Wildlife Service. Responsibilities include:

Core Responsibilities:

  • Frank & Diverse Administrative Support

    • Manage plan, design, and maintain a wide range of administrative systems and processes.
    • Assist in all aspects of branch operations, ensuring smooth communication with internal and external stakeholders.
  • Financial & Operational Support

    • Process financial transactions including purchase orders, invoicing, and generating financial reports.
    • Coordinate fleet vehicle operations, system registration of vehicles, and maintenance records (administration and record-keeping).
  • Calendar & Stakeholder Engagement

    • Conduct calendar management for senior staff and branch managers.
    • Handle enquiries and coordinate training, meetings, and travel arrangements.
    • Collaborate across multiple teams to ensure operations run efficiently.
  • Incident & Compliance Support

    • Be ready to assist during emergencies such as bushfires, providing incremental support as needed.
    • Maintain compliance with audit, health, and safety policies, plus statutory requirements.
  • Supporting Workflows & Assets

    • Utilise Content Manager (CM) for records management and data accuracy.
    • Maintain minor asset inventories and assist in Work Health and Safety (WHS) and asset audits.
    • Prepare regulatory reports and minutes, collating documentation for insurance purposes and other business needs.

Key Skills Demonstrable in This Role

  • Technological Proficiency: Familiarity with records management, databases, and standard office applications (Word, Excel, and financial systems).
  • Administrative Expertise: Experience in human resources, financial procedures, and policy adherence.

Essential Role Requirements

To be eligible, candidates must demonstrate:

  • Minimum qualifications:

    • Experience in administrative roles, including:
      • Proficiency in word processing, spreadsheet management, and records management systems.
      • Knowledge of financial and human resources best practices, including handling policies, systems, and compliance protocols.
  • Technical Fluency:

    • Functional experience with assessments of risk, WHS policies, and regulatory requirements.
