Administrative Assistant

Location: Remote (UK)

During the initial training period (approximately 2–3 months), you will be required to attend the London office at least three days per week. Thereafter, attendance will typically be once a month, depending on experience.

Salary: Competitive

Hours: Monday to Friday, 9:30am – 5:30pm

Start Date: ASAP

About the Role

Owen Reed is looking to recruit an Administrative Assistant for a top law firm. This is an excellent opportunity to join a supportive and collaborative secretarial team, providing essential administrative support across the firm's London, Reading, and Bristol offices.

This role is ideal for a highly organised individual who enjoys working in a fast-paced environment, has excellent attention to detail, and takes pride in delivering exceptional client service. With the flexibility of remote working following your initial training period, this is a fantastic opportunity to develop your career within a leading legal environment.

Key Responsibilities

As an Administrative Assistant, you will:

  • Manage the full file opening process for Settlement Agreement clients.
  • Liaise with new clients by telephone and email to obtain onboarding information.
  • Open new matters and maintain accurate records within the firm's Practice Management System.
  • Prepare and issue Client Care documentation.
  • Carry out conflict, sanctions, Know Your Client (KYC), and Anti-Money Laundering (AML) checks.
  • Obtain client identification and supporting documentation ahead of appointments.
  • Coordinate with Legal Secretaries and fee earners to ensure a seamless onboarding process.
  • Schedule Settlement Agreement meetings with clients.
  • Provide administrative support for large-scale Settlement Agreement projects.
  • Process invoices upon completion of client matters.
  • Assist with file closing and archiving procedures.
  • Support the wider secretarial function with general administrative duties as required.

About You

The successful candidate will have:

  • Previous experience in an administrative or office support role.
  • Excellent organisational skills with the ability to manage multiple tasks and deadlines.
  • Strong attention to detail and a high level of accuracy.
  • Excellent written and verbal communication skills.
  • Outstanding client service and interpersonal skills.
  • Confidence working independently while remaining proactive and organised.
  • Strong diary management and administrative abilities.
  • The ability to handle confidential and sensitive information with discretion.
  • A flexible, positive, and adaptable approach to work.
  • Strong IT skills, including Microsoft Office, with the ability to learn new systems quickly.
  • Previous experience within a legal or professional services environment is advantageous but not essential.
