Job Description: Administrative Assistant (Topside Division)

Position: Administrative Assistant (Topside Division)

Core Purpose
- Support the sourcing, interviewing, and onboarding of offshore personnel in collaboration with the Personnel Team, Project Managers, and Senior Recruitment/Personnel Lead.
- Enable effective workforce planning by maintaining accurate personnel records and ensuring suitable subcontractor engagement.

Key Responsibilities and Accountabilities
- Act as the primary contact for all contractor vacancy opportunities, administering and responding to recruitment queries.
- Manage onboarding processes for new contractors, verifying that all certifications are current and complete.
- Administer and maintain contractor databases.
- Support tenders, contracts, and variation orders for active contractors.
- Administer IR35 determinations for applicable contractors.
- Carry out additional duties aligned with role scope and capability.
Skills and Experience
- Clear written and verbal communication skills in professional English.
- Confidence in making internal and external phone calls to stakeholders.
- Strong interpersonal abilities, fostering effective relationships across all seniority levels.
- Robust organisational skills with the capacity to prioritise workloads efficiently.
- High attention to detail; unwavering focus on accuracy in all tasks.
- Strong problem-solving skills, from identifying issues to implementing effective resolutions.

Qualifications
- At least one year’s experience in an administrative or coordination role.
- Proficient in IT, with proficiency in:
- Microsoft Word
- Microsoft Excel
- Microsoft PowerPoint
