The Role: Administration Assistant (Clinical Trials Insurance)
We seek a detail-oriented and proactive Administration Assistant to support the Clinical Trials Insurance team. This role ensures policy accuracy, documentation efficiency, and seamless coordination with clients, brokers, underwriters, and risk managers.

Responsibilities
Policy Administration & Compliance
- Prepare, review, and issue:
- Standard documentation (quotes, binders, policies, Certificates of Insurance (COIs), schedules, endorsements, invoices, debit/credit notes).
- Understand and manage protocol references, site lists, territories, limits, sponsor/CRO relationships.
- Support renewals, mid-term adjustments (MTAs), and endorsements with strict timely turnaround and version control.
- Track policy conditions, subjectivities, and compliance requirements (e.g., ethics committee approvals, regulatory approvals, trial dates).

Document & Data Management
- Input, validate, and mend data in policy administration systems, CRMs, and shared trackers.
- Support data audits and clean-up.
- Ensure GDPR-compliant handling of personal data.
Communication & Coordination
- Triage and prioritise workflows via shared inboxes and ticket queues.
- Generate key performance reports (pipeline lists, premiums, turnarounds) and operational updates.
- Liaise with underwriters, brokers, and clients to chase documentation, amendments, and subjectivities, maintaining clear records.
Client Support & Operations
- Assist in client onboarding, KYC checks, and compliance documentation collection.
- Support Account Handlers with communication and paperwork (scheduling, minutes, action tracking).
- Collaborate on boarderaux prep, audit support, regulatory reporting, incident reporting, and complaint tracking.
Compliance &(file) Management
- Adhere to internal SOPs, binder authorities, and QA checklists.
- Organise digital filing and naming conventions with archival support.
Training & Onboarding
- Assist with integration of new team members (setup, training, induction).
Requirements
Essential Qualifications & Skills
- At least A-Level qualifications (or equivalent).
- Strong attention to detail with document control and version management skills.
- Confident communication (written emails, client-facing calls) with a professional tone.
- Proficient in Excel (sorting, filters, formulas) and experience in Word, Outlook, and Teams.
- Ability to manage priorities and deadlines, and work with varying demands.
- Discretionary standards aligned with GDPR and company data retention policies.
- Passion for insurance or insurance-related qualifications (e.g., CII education support provided).

Desirable Qualifications & Experience
(Not mandatory – bonus points!)
- Experience in insurance administration, brokerage, underwriting, healthcare, financial services, or clinical operations.
- Exposure to clinical trials insurance or pharma industry.
- Knowledge of GxP/GCP, ethics approvals, or trial lifecycle terminology.
- Familiarity with policy administration systems.
- Understanding of country-specific liability requirements and international placement processes (e.g., bordereaux, delegated authority).
- General awareness of ISA and binder systems.
