Job Title

We are seeking a highly organized and efficient Administrative Assistant to support our team with a variety of clerical and administrative tasks. The successful candidate will play a vital role in maintaining smooth office operations, managing correspondence, and ensuring that daily activities are executed seamlessly. This position offers an excellent opportunity for individuals with strong organizational skills and experience in office administration to contribute to a professional environment.

Duties

  • Manage incoming calls with professional phone etiquette and direct them appropriately
  • Organize and maintain files, records, and documentation in both physical and digital formats
  • Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks
  • Assist with scheduling appointments, meetings, and calendar management for team members
  • Prepare correspondence, reports, and presentations as required
  • Support invoicing, billing, and financial record keeping using QuickBooks
  • Handle mail distribution and courier arrangements efficiently
  • Provide general administrative support to various departments as needed
  • Ensure the office environment remains tidy and well-organized at all times

Skills

  • Proven office experience with strong organizational abilities
  • Proficiency in computer skills including Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry software
  • Previous clerical or administrative experience is highly desirable
  • Excellent phone etiquette with clear communication skills
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Fast and accurate typing skills to facilitate efficient data entry
  • Familiarity with QuickBooks for financial transactions and record keeping
  • Ability to handle multiple tasks simultaneously while maintaining attention to detail
  • Knowledge of general office procedures and administrative best practices
