Administrative Assistant - Maternity Cover

We are looking for a professional, organised, and enthusiastic Administrative Assistant to join our Norwich office on a maternity cover contract (up to 12-months). This is an excellent opportunity for an experienced administrator to become part of a friendly, collaborative team and play a key role in supporting the day-to-day operations of a busy and growing practice.

About the Role

Reporting to the Directors and working closely with the Norwich team, you will provide a wide range of administrative and personal assistant support to ensure the smooth and efficient running of the office. The role is varied and rewarding, offering the opportunity to work across multiple areas of the business while supporting project teams, directors, and colleagues across different offices.

Key Responsibilities

  • Managing general office administration
  • Maintaining accurate project and contact records
  • Preparing and formatting documents and reports
  • Organising meetings and events
  • Coordinating office facilities
  • Providing support with business management and quality assurance processes
  • Acting as a welcoming first point of contact for visitors, helping to create a professional and positive office environment

Requirements

  • A minimum of two years' experience in a similar administrative role
  • Excellent organisational, communication, and time-management skills
  • Confidence in managing multiple priorities, maintaining high levels of accuracy, and working both independently and as part of a wider team
  • Strong IT skills, including proficiency in Microsoft Office applications
  • Experience with Adobe Creative Cloud would be advantageous

  • A positive attitude and willingness to support colleagues across the business

Key Duties Include:

  • Providing administrative and PA support to Directors and technical staff
  • Managing correspondence, filing, document preparation, binding, and archiving
  • Organising and maintaining project documentation and databases
  • Coordinating meetings, booking meeting rooms, and preparing meeting minutes
  • Welcoming visitors and arranging refreshments and catering
  • Monitoring and ordering office supplies and stationery
  • Assisting with marketing materials, company brochures, CVs, and presentations
  • Supporting quality management and compliance processes
  • Coordinating staff social events, CPD sessions, parking permits, and office logistics
  • Maintaining a professional, organised, and efficient office environment
