Administrative Assistant PCR Edinburgh

Legal Secretary/Professional & Commercial Risk Administrator

Department: Professional and Commercial Risk Location: Edinburgh

About the Role

The role provides administrative and file management support across the Professional and Commercial Risk team. Tasks originate either directly from the lawyer or via the Legal Secretaries/STL, and the candidate will establish a responsive service-based relationship by understanding and meeting the team’s needs.

Key Responsibilities

📌 Client Relationship Management

  • Execute admin tasks relating to client relationship management upon instruction
  • Ensure current knowledge of client-specific protocols and integrate processes into existing practices
  • Assist lawyers, STL/legal secretaries in organising internal/external events, seminars, and conferences
    • Coordinate delegates’ registers
    • Manage travel bookings
    • Print/send/travel materials

📂 Administrative

  • File opening/closing – Set up and maintain case/document management systems; ensure proper archiving & compliance
  • Collate, index, and send large electronic documents via ShareFile
  • Maintain electronic and paper files, adhering to standard naming conventions and folder structures
    • Organise room/taxi bookings, couriers, and ad-hoc logistics
    • Handle printing/copying/scanning (high-volume jobs routed through Office Services)
    • Process client signatures via DocuSign
  • Manage incoming post (scanning, filing, distributing to fee earners)
  • Draft standard letters (payments, event acceptances)
  • Upload/edit documents in PDF systems

📞 Communication

  • Liaise with team members on workloads and deadline management
  • Answer internal calls and delegate work effectively
  • Follow direction from HL/STL/Legal Secretaries/lawyers

💰 Financial

  • Support billing/account queries
  • Assist with matter-related finances (BACS, TTs, expenses)

📄 Processing

  • Assemble court bundles (paper & electronic)
  • Work with Office Services to ensure master bundle compliance
  • Prioritise tasks and liaise with STL when challenges arise
  • Verify client/internal data accuracy and compliance status
  • Regularly manage post/emails, filing correspondence

🎯 Customer Service

  • Attend team meetings
  • Shallow consistent updates on progress
  • Proactively assist service users

🔄 Firm-Wide Governance

  • Operate as one global team within DAC Beachcroft’s international structure
  • Maintain regulatory compliance, prioritise risk/security awareness
  • Collaborate to mitigate commercial risk

Requirements

  • Relevant office-based administration experience, ideally in legal/commercial fields
  • Proficiency with document/case management systems
  • Intermediate level in Microsoft Office
  • Strong communication skills (internal/external)
  • Organisational & multitasking abilities for fast-paced environments
  • Conscientious attention to detail and personal accountability
  • Adaptable, proactive, and flexible approach with a willingness to learn
  • Team player with analytical and problem-solving skills
