Administrative Assistant, PROSPECTUS

Administrative Assistant

Salary: £14.39 per hour + holiday pay (circa £28,000 salaried equivalent)

Contract: Full-time, 2-month temporary

Location: Oxford (fully onsite)

Start Date: Immediate (required)

Working Pattern: 37.5 hours per week (includes alternate weekend shifts)


About the Role

We are supporting a well-established, service-led organisation seeking a highly organised and personable Administrative Assistant to join their team in Oxford.

This is an exciting opportunity for someone who enjoys a fast-paced, front-facing role, thrives on providing excellent customer service, and ensures the smooth operation of a professional environment.

No two days will be the same in this role. Due to its nature, it is fully onsite, requires an immediate start, and includes alternate weekend working.


Key Responsibilities

Front of House & Communication

  • Serve as the first point of contact for incoming calls, enquiries, and walk-ins.
  • Welcome visitors while enforcing appropriate sign-in procedures.
  • Efficiently manage communications, directing messages to the correct stakeholders.

Administrative Support

  • Provide comprehensive administrative and secretarial support to senior team members.
  • Coordinate diaries, bookings, and room reservations.
  • Maintain accurate filing systems, records, and databases.

Operational Coordination

  • Handle incoming post, deliveries, and documentation.
  • Coordinate bookings, payments, and service invoices where applicable.
  • Support the planning and execution of events and day-to-day operations.

Office & Facilities Support

  • Monitor and manage stationery/office supplies, tracking stock levels and budgets.
  • Assist with broader administrative functions and provide cover when needed.

Requirements

  • Strong experience in administrative or reception roles within a dynamic environment.
  • Exceptional communication skills with a professional, calm demeanour.
  • Proficient in Microsoft Office and databases.
  • Highly organised, able to multitask and prioritise workloads.
  • Proactive, team-focussed attitude with the ability to work independently.
  • Personable and empathetic approach when engaging with diverse stakeholders.
