Role Description
We are looking for a reliable, organised and enthusiastic Administrative Assistant to join our Administrative Support Team at Indigo Forward.
This is a junior office based role, suited to someone who enjoys being organised, is happy to support with a wide range of day to day tasks, and is keen to develop their administration skills in a busy professional environment.
You will support the EA and Office Administrator with general administration, office coordination, filing, supplies, basic travel preparation, expense support, meeting room arrangements, errands and general office tasking.

- Provide general administration support to the EA, Office Administrator and wider team.
- Assist with document preparation, formatting, scanning, printing and filing.
- Maintain digital and physical filing systems.
- Update trackers, checklists, logs and routine records.
- Support with basic data entry and record keeping.
- Assist with basic travel arrangements, accommodation, transport and itinerary information where required.
- Support with expense administration, including receipt collation, scanning, filing and follow up.
- Help manage office supplies, stationery, kitchen stock and general office inventory.
- Support meeting room bookings, room setup, refreshments and room reset.
- Assist with visitor arrangements, incoming calls, post, deliveries and courier bookings.
- Support onboarding administration, including desk setup, passes, equipment requests and starter information.
- Assist with practical errands, collections, deliveries, bookings and other day to day tasks where appropriate.
- Help follow up on basic supplier, cleaning or maintenance actions as directed.
- Escalate sensitive, confidential or senior level matters to the EA or Office Administrator.
Skills and Experience
Essential
- Previous experience in administration, office support, reception, customer service or a similar coordination role.
- Good organisational skills and strong attention to detail.
- Confident written and verbal communication skills.
- Comfortable using Microsoft Office, Outlook, Teams and Excel.
- Full UK driving licence.
- Positive attitude and willingness to learn.
- Professional, reliable and punctual.
- Able to follow instructions, ask sensible questions and manage routine tasks accurately.
- Comfortable dealing with employees, visitors, suppliers and callers.
- Practical and willing to help with a variety of office and administrative tasks.

Desirable
- Previous experience in an office based role.
- Experience with travel booking, expenses or supplier coordination.
- Experience working in a busy office environment.
- Interest in developing into office coordination, office management or wider business support.
