Administrative Assistant

Primary Location: 2550 Bending Branch Way, Allen, Texas, 75013

Job Summary

Provide administrative support to a department or division, assisting with projects, programs, and special events.


Essential Duties & Responsibilities

  • Process, maintain, and verify data, records, files, and databases related to department/division operations, reporting discrepancies to the director and making corrections as needed.
  • Assist with department/division reports, projects, special events, ceremonies, receptions, and course scheduling.
  • Greet office visitors, answer telephones, and respond to requests from staff, faculty, students, and other departments.
  • Collect, compile, and disseminate data, creating and distributing reports.
  • Maintain accounting records for accounts payable, accounts receivable, check requests, and budgets.
  • Receive, prepare, sort, and classify correspondence, training guides, notices, brochures, and other documents.
  • Establish systems to track and maintain department/division files, records, and paperwork efficiently.
  • Schedule appointments, meetings, and classroom visits for the department/division head.
  • Assist in purchasing office supplies and equipment in alignment with department/division policies.
  • May scan and file class grades by department and instructor.
  • May attend meetings to record and prepare minutes, compiling and distributing related reports or board packets.

Supplemental Functions:

  • Perform other duties as assigned to uphold College standards, policies, procedures, and Core Values.

Knowledge, Skills & Abilities

Required:

  • Intermediate Microsoft Office knowledge
  • Good understanding of bookkeeping/accounting
  • Familiarity with department/division policies, procedures, and programs, as well as external agency protocols
  • Department/division systems, equipment, and supplies knowledge
  • Degree adviser software experience (e.g., issuing degree audits) if relevant
  • Strong organizational, proofreading, and creativity skills
  • Excellent interpersonal and customer service abilities
  • Collaboration, conflict management, and problem-solving skills
  • Ability to multitask, work independently, and meet deadlines under pressure
  • Proficiency with department-specific software and systems
  • Excellent attention to detail, confidentiality, and accuracy in maintaining records
  • Advanced computer applications and peripherals fluency

Physical Demands & Work Environment

  • Sedentary work (up to 10 lbs force occasionally, negligible force frequently/constantly)
  • Primarily sitting-based, with some walking, standing, and repetitive motions
  • Minimal physical effort; office environment with rare exposure to unpleasant conditions

Requirements

Education

  • Associate degree from an accredited institution (required)
    • Or
  • High school diploma/GED + 4 years of administrative office experience
