Administrative Business Partner

As an Administrative Business Partner, you won’t just manage tasks; you’ll be a strategic force, enabling leadership and teams to operate at their peak. Key Responsibilities
- Proactively manage complex calendars, optimizing schedules for short and long-term planning, resolving conflicts, and ensuring adequate preparation time for key events across various time zones.
- Execute comprehensive travel coordination, including scheduling, pre-travel preparations (e.g., visa and passport support, tech support, cultural considerations), and providing on-call assistance for urgent requests during travel.
- Oversee financial administrative tasks such as completing expense reports, processing invoices, and managing purchase orders with precision and discretion.
- Plan, organize, and execute internal and external events and programs (e.g., budget management, team off-sites, site-wide events, business events), managing all logistics (e.g., venues, equipment, swag, entertainment) in collaboration with internal partners and external vendors.
- Contribute to the development and implementation of strategic programs and initiatives focused on culture, community affairs, communications, team dynamics, and site effectiveness, making recommendations to leadership.
- Prepare and facilitate meetings by ensuring proper room setup, equipment functionality, attendee confirmation, gathering and compiling materials (e.g., decks, agendas), and assisting with note-taking.
- Act as a trusted partner in assessing and advocating for office space needs, managing accommodation requests, and collaborating with real estate workplace services for space allocation and office moves.
- Lead or contribute to medium to large-scale projects and programs (e.g., culture initiatives, global community projects, function/site specific process improvement), identifying and resolving risks and obstacles to successful delivery.
- Maintain the highest standards of confidentiality, with an advanced understanding of company policies and procedures.
- Serve as a role model and provide support within the administrative community, fostering positive relationships with internal and external stakeholders.
