Administrative Business Partner
Contract Type: Contract until 9th of October 2026 Location: London, UK (3 days onsite, 2 days WFH)
About the Role
An opportunity to play a key partnering role to our growing Executive/Leadership Teams. This is an operational and strategic role helping to support key executives, teams, and locations. The role reports both to the Global E/OABP lead and location leadership. It will build, in collaboration with leadership on a variety of cross-site culture, communication and PR initiatives.

Responsibilities
General Responsibilities
- Plan and organize site/location activities across culture, community affairs, PR, and communications with both internal and external communities while making strategic recommendations to leadership teams on programs and initiatives that support team dynamics and site effectiveness.
- Act as a role model within the community and drive events and programs aligned with the both business strategy and community needs whilst taking on leadership for Culture/ABP projects, advocating the concept(values and culture) of ABP at site/wider region.
Calendar, Meeting & Administrative Support
- Schedule, maintain, and update calendar events for supported executives, teams, and/or sites, including:
- Proactive scheduling with consideration for time zone differences
- Resolving scheduling conflicts and optimizing short- and long-term planning
- Making recommendations for time allocation with respect to calendars and travel
- Execute expense and budget management, including:
- Handling expense reports, invoices, and purchase orders for executives and site teams
- Coordinate all aspects of travel arrangements, including:
- Organizing business-related travel, visa/ passport preparation, and travel agendas
- Handling travel requests, equipment, and payments
- Resolving urgent last-minute travel needs during business trips

Meeting & Event Coordination
- Prepare and execute meetings on behalf of executives and teams, ensuring all meeting materials (agendas, decks, attendance lists) are accurate and polished.
- Plan and manage large-scale internal and external events (e.g., team offsites, site-wide events, summits, tech talks), including:
- Career path presentations, business events, knowledge sharing, reg before holiday counts, buddy systems, etc.
- Budget management, venue selection, vendor coordination, and ensuring compliance with internal policies.
- Maintaining oversight as the event leader/manager for complex events.
Workplace & Project Leadership
- Advocate for and manage space allocation, liaising with internal stakeholders (e.g., Real Estate Workplace Services - REWS) to optimize office efficiency and relocation planning.

Key Qualities
- Previous event management experience in a corporate or consultancy environment
- Excellent organisational skills with the ability to juggle multiple objectives and priorities
- Genuine desire to build relationships both internally and externally
- Strong sense of ownership and engagement – find space to be involved, raise issues to leadership and forthcoming in a positive but forthcoming way.
- Discretion and strategic thinking when discussing confidential or sensitive topics with business confidence.
Competencies
- Customer/Adjacent Relationship – Ensures required outcomes are achieved or outputs delivered with highest quality and in line with commitments, as agreed with the customer.
- Essential at all stages to be able to assess accuracy of mediums intended for information.
- Money Management – Drives work to be in line to achieve business strategy and legal aspects.
- Team Management – Remains fully engaged whilst maintaining familiarity and collective awareness of global community trends. Therefore may join and share in a team’s sense of ownership regarding events under management.
Other Responsibilities
- Advocate for and manage office space allocation logistics and routing plans.
- Conduct democratisation data on internal office space layout (volume of desks and monitors support).
- Contribute to Specific Project Teams and Events in conjunction with leadership and other associates Mass Production of Culture
- Promote equality, diversity and inclusion within Hyatt location in the role.
Key performance metrics: Ensure 100% of identified Health and Safety guidelines are reported/addressed.
(Local contracts in a lower tax region preferred - must follow relative guidelines.)
