Position: Administration Coordinator

Location: DISC, Cambridge (Hybrid Working 3 days per week)

Duration: 10 months

This is an exciting opportunity for you to take on a challenging, proactive, and varied role within the Haematology Clinical Operations team on a one-year fixed term contract. As an Administration Coordinator, you will provide administrative or secretarial services to the senior team, coordinating complex meetings, off-site events, diary arrangements and travel in line with AZ policy. You will be responsible for coordinating, collating and communicating information at the detailed level, possibly of a technical or statistical nature. You will also reconcile figures or information from various sources, ensuring completeness and accuracy, and follow-up on discrepancies.

Responsibilities Include:

  • Delivering full PA support to the VP of Haematology Clinical Operations, with a strong focus on complex calendar management, while also providing PA support to the Clinical Operations Leadership Team
  • Working independently and pro-actively to resolve issues and challenges relating to administrative requests
  • Performing administrative tasks using independent judgement and discretion
  • Providing end-to-end meeting support for key Haematology Clinical Operations meetings, including agenda circulation, presenter alignment, and central collation of presentations, minutes, and recordings
  • Effectively coordinate and collaborate with other Administrative Assistants within Haematology on cross-functional and cross-organizational meetings / events / processes, including across multiple international time zones
  • Extensive and proactive planning of travel arrangements, including flights, accommodation, airport transportation, car bookings, trains etc
  • Collating and processing of expense claims within set timelines and ensuring compliance with the expenses policy
  • Organising internal/external meetings including room bookings and catering arrangements, coordinating global video calls
  • Oversee new starters and leavers, completing all related on/off boarding tasks, and keep distribution lists current
  • Delivering administrative support across the department as required
  • Support continuous improvement of administrative processes, using digital tools and best practice to improve team efficiency and ways of working

  • Proven experience of providing full PA/administrative support at a senior level
  • Excellent time management, organisational and communication skills
  • Flexible, adaptable, and highly collaborative
  • Ability to manage multiple tasks simultaneously and effectively
  • Able to work independently and as part of a team
  • Knowledge of Microsoft Outlook, SharePoint, Teams, Excel and PowerPoint
