Salary: Starting from £30,000 (dependent upon qualifications, experience, and security clearance)

We are seeking a highly organized Administrative / Document Control professional to support United States Air Force infrastructure programmes based at RAF Mildenhall. This role is fundamental to maintaining accurate project documentation, supporting programme administration, and ensuring information is managed in accordance with contractual, quality, and security requirements.

The Role

G3 Systems is seeking an organized and detail-oriented Administrative / Document Controller to support a major United States Air Force programme at RAF Mildenhall. Working within the Programme Management Office (PMO), you will be responsible for maintaining project documentation, coordinating document control activities, and ensuring accurate reporting across engineering and construction programmes.

The successful candidate will ensure project records are maintained in accordance with contractual requirements, supporting the timely delivery of weekly reports, technical documentation, and customer deliverables.

This role is fundamental in maintaining programme governance, audit readiness, and document compliance.

Key Responsibilities

  • Maintain electronic and hard-copy project filing systems.
  • Control engineering, project, and contractual documentation throughout the document lifecycle.
  • Register, distribute, and archive project documents.
  • Maintain document revision histories and version control.
  • Produce and distribute weekly project reports and status updates.
  • Support the preparation and submission of contractual deliverables.
  • Maintain project registers, correspondence logs, and document trackers.
  • Ensure documentation complies with customer quality and contractual requirements.
  • Coordinate document reviews, approvals, and distribution.
  • Prepare meeting packs and maintain action registers where required.
  • Support project teams with administrative and reporting activities.
  • Assist with audit preparation and records management.
  • Liaise with Project Managers, Engineers, Commercial, and Quality teams to ensure documentation remains current and accurate.

About You

You will be an organized and detail-oriented professional with experience in document control, project administration, or technical administration within engineering, construction, or defence environments.

Essential

  • Previous experience in document control, project administration, or technical administration.
  • Excellent organizational skills and attention to detail.
  • Experience maintaining structured electronic filing systems.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
  • Ability to manage multiple priorities while working to demanding deadlines.

Desirable

  • Experience within engineering, construction, infrastructure, or defence sectors.
  • Knowledge of document management systems such as SharePoint, Aconex, Viewpoint, or Autodesk Construction Cloud.
  • Familiarity with engineering drawings, technical documentation, and document revision control.
  • Understanding of ISO 9001 quality management systems and document control processes.
  • Experience supporting programme or project management teams.
  • Existing BPSS, Security Check (SC), or higher security clearance, or the ability to obtain the appropriate clearance.
