Administration Executive
๐ Leeds (Primarily Office Based with Hybrid Working Available)
๐ 37.5 hours per week (including occasional weekends)
We're looking for an organised, proactive Administration Executive to join our growing team. You'll be working closely with our General Manager, Operations Manager, Sales Manager, Homeworking Team and Sales Team, helping to keep everything running smoothly behind the scenes while making sure our customers receive the best possible service. If you love being organised, have a great eye for detail and enjoy getting stuck in wherever you're needed, we'd love to hear from you.
You'll be based primarily in our Leeds office, so you'll need to be able to commute there. Once you're settled into the role, there will be the opportunity to work from home on occasion as part of our hybrid approach.
What you'll be doing
- Checking bookings before confirmations are sent to make sure everything is correct, deposits have been taken and all the paperwork is in place.
- Updating and amending bookings.
- Helping load bookings during our busiest sales periods.
- Processing and chasing tickets while keeping reports up to date.
- Checking invoices and travel documents for accuracy.
- Sending travel documentation to customers.
- Answering queries from customers, our Homeworking Team and colleagues.
- Looking after after-sales requests, including amendments, refunds and callbacks.
- Monitoring balance reports, sending reminders and following up outstanding payments.
- Investigating commission and incentive queries.
- Keeping our systems and booking records accurate and up to date.
- Jumping in to help other departments whenever needed.
- Supporting the General Manager with projects and ad hoc tasks.
- Representing the business at the occasional conference or event.

Sales Support
From time to time, you'll also help support our Sales Team by:
- Speaking with customers and answering enquiries.
- Preparing holiday quotations.
- Confirming bookings.
- Loading bookings onto our systems.
- Issuing booking documents.
- Pitching in wherever needed to help the team deliver brilliant customer service.
