Administrative Manager

Are you passionate about managing financial operations, ensuring accounting accuracy, and supporting business success through efficient office administration?
We are seeking an experienced Office & Finance Manager to oversee accounting functions, financial reporting, payroll administration, compliance documentation, and daily office operations within a growing industrial and project-based business environment.
This role is ideal for a highly organized professional who combines strong accounting knowledge with operational management expertise. The successful candidate will play a critical role in maintaining financial integrity, supporting leadership with business insights, and ensuring smooth day-to-day administrative operations.
Key Responsibilities
Financial Management & Accounting
- Maintain accurate financial records and oversee daily accounting activities.
- Manage accounts payable and accounts receivable processes.
- Ensure timely and accurate bookkeeping, reconciliations, and financial transactions.
- Support cash flow management through effective invoicing, payment tracking, and collections activities.
Billing & Revenue Administration
- Prepare and distribute customer invoices in a timely manner.
- Monitor outstanding balances and follow up on collections activities.
- Serve as a primary point of contact for customers regarding billing inquiries and account-related matters.
- Assist in improving billing processes and financial controls.

Financial Reporting & Analysis
- Prepare monthly financial statements, profitability reports, and management summaries.
- Monitor key financial metrics and provide insights to support business decisions.
- Support budgeting, forecasting, and financial planning activities.
- Assist leadership with project-related financial tracking and reporting.
Payroll & Compliance Administration
- Process payroll accurately and ensure compliance with applicable regulations and reporting requirements.
- Maintain payroll records and supporting documentation.
- Manage compliance-related documentation and reporting requirements.
- Ensure all required records are accurate, complete, and maintained appropriately.
Project & Contract Documentation
- Coordinate administrative and financial documentation related to projects and contracts.
- Maintain compliance records, waivers, certifications, and other required project documents.
- Support audit preparation and document management processes.
Office Operations Management
- Oversee daily office operations and administrative workflows.
- Develop and implement process improvements to increase efficiency and effectiveness.
- Coordinate with vendors, clients, and internal stakeholders to support business operations.
- Ensure smooth communication and collaboration across departments.

Required Qualifications
- Experience in Finance, Accounting, Bookkeeping, Office Management, or a related role.
- Strong background in accounts payable, accounts receivable, invoicing, collections, and bookkeeping.
- Experience processing payroll and maintaining associated records.
- Knowledge of compliance documentation and administrative recordkeeping.
- Strong attention to detail and commitment to accuracy.
- Excellent organizational and time management skills.
- Professional communication skills with the ability to interact effectively with clients, vendors, and internal teams.
Preferred Qualifications
- 3+ years of experience in a project-based, industrial, manufacturing, construction, or related business environment.
- Experience with project costing, job-cost tracking, and profitability reporting.
- Knowledge of labor reporting, payroll compliance, and workforce documentation requirements.
- Bilingual communication skills are a plus.
- Experience with accounting software, ERP systems, and advanced Microsoft Excel.
