Job description and responsibilities:
- Reporting: generate and prepare various reports.
- Invoicing: process incoming invoices and prepare the submission of outgoing invoices.
- Database management: maintain and update databases and records to ensure accuracy and completeness; implement data quality control measures to uphold data integrity.
- Meeting and event coordination: arrange and schedule meetings, ensuring all logistical requirements are met, and coordinate catering for meetings and events.
- Logistics coordination: make accommodation and transportation bookings; organise and coordinate Continuing Professional Development (CPD) sessions.
- Office equipment maintenance: oversee the maintenance and proper functioning of office equipment, and coordinate with external vendors for repairs and servicing.
- IT support: assist with setting up new laptops and workstations; troubleshoot and address basic IT-related issues in collaboration with the IT department.
- Customer service: address and respond to enquiries; manage incoming mail and distribute accordingly.
- Compliance: assist with the preparation of submissions for maintenance of various certifications.
- Other activities: necessary for the smooth running and development of the business.

This is an office-based (M3 5BQ) job from Monday to Wednesday, with the possibility of working from home on Thursdays and Fridays.
Skills and experience needed:
- Proven experience in office administration or a related field.
- Excellent attention to detail and accuracy - will be tested during the interview.
- Strong organizational and multitasking skills.
- Proficient in Microsoft Office Suite, Google Suite, and database management - will be tested during the interview.
- Exceptional communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Knowledge of Xero accounting software - will be tested during the interview.
