The Opportunity
We are looking for a highly organised and dependable Administrative Specialist to join our Technical Services Group on a part-time basis.
This is a hands-on operational support role responsible for taking ownership of the administrative and process-driven activities that enable our Technical Services team to operate efficiently. You will ensure routine operational tasks are completed accurately, on time, and to a consistently high standard, allowing technical engineers to focus on higher-value technical work.
The ideal candidate enjoys creating order, improving processes, coordinating activities, and ensuring nothing gets overlooked. While the role sits within the Technical Services Group, it is primarily an administrative and operational position rather than a technical engineering role.
Key Responsibilities
- Take ownership of daily, weekly, and monthly operational administration tasks within the Technical Services team.
- Perform and monitor scheduled backup processes, including tape management, off-site storage, and rotation of backup media.
- Maintain the company asset register, ensuring all purchased hardware and equipment is accurately recorded and tracked.
- Coordinate the shipping, receiving, and logging of IT equipment.
- Maintain stock levels of consumables and IT accessories (HDMI cables, USB cables, peripherals, etc.).
- Purchase and track software licenses, SSL certificates, hardware maintenance renewals, and other technical subscriptions.
- Monitor renewal dates for domains, SSL certificates, warranties, and maintenance agreements to ensure timely renewals.
- Create new employee accounts and provision access on hosted systems following documented procedures.
- Set up new hosted customer environments using established processes.
- Manage non-technical onboarding activities for new hosted customers, including welcome communications and hardware checklists.
- Handle first-line hosted administration requests, including password resets, account unlocks, and other routine support tasks.
- Monitor scheduled maintenance activities and follow up on outstanding actions.
- Maintain documentation, Knowledge Base articles, and operational procedures.
- Maintain change control records and ensure operational documentation remains current.
- Assist with maintaining hardware maintenance records and support contracts.
- Issue and manage office access fobs, maintaining accurate access control records.
- Ensure Intune, Datto, and other device management records remain accurate and up to date.
- Chase outstanding technical jobs and ensure completed work is properly closed.
- Support engineers by monitoring alerts and ensuring operational tasks are followed up promptly.
- Carry out routine operational system checks, escalating issues where appropriate.
- Support ISO administration and documentation activities.
- Assist the wider Technical Services team with general administration and operational coordination as required.

What We’re Looking For
- Previous experience in an IT administration, technical administration, service desk coordination, or operations support role.
- Excellent organisational skills with exceptional attention to detail.
- Strong sense of ownership and accountability, ensuring tasks are completed without constant supervision.
- Comfortable working with documented processes and continually improving them.
- Good understanding of Microsoft Windows and Office 365 administration.
- Experience maintaining asset registers, licenses, inventories, or technical records.
- Confident communicating with both technical and non-technical colleagues.
- Able to prioritise workload and manage multiple ongoing tasks.
- Experience working within an MSP or IT support environment would be advantageous.
- Familiarity with hosted environments, Active Directory, Intune, backup solutions, or SSL certificates would be beneficial but is not essential.
- A proactive attitude with a desire to remove administrative burden from technical teams.

- Location: White Waltham, Maidenhead (Office-based)
- Hours: Part-time (20–25 hours per week)
- Salary: £25-30K (pro rata)
- Reports to: Technical Services Manager
