Administration Supervisor

Location: London
Hybrid: 3 days in office

Robert Half is partnering with a foreign bank in the city of London to find an Administration Supervisor.

The Role

As Administration Supervisor, you will oversee the day-to-day running of the administration function, ensuring high standards of service, governance and operational efficiency. You'll lead a small team, manage priorities across multiple workstreams, and act as a trusted point of contact for senior leadership.

This is a varied role offering exposure to executive support, supplier management, corporate governance, project coordination, and continuous process improvement.

Key Responsibilities

  • Lead, mentor, and support a small administration team, allocating workloads and ensuring service excellence.
  • Act as a key point of contact for senior leaders, providing high-quality administrative support and resolving operational issues.
  • Oversee supplier and vendor management, including contracts, onboarding, invoice approvals, expense processing, and compliance.
  • Ensure administrative activities are delivered in line with internal governance, policies, and regulatory requirements.
  • Prepare management information (MI), reports, and presentations for senior stakeholders.
  • Monitor budgets, administrative spend, and approval processes.
  • Identify opportunities to improve processes, controls, and operational efficiency.
  • Support business projects and coordinate administrative activities across departments.
  • Maintain policies, procedures, and guidance documents, ensuring best practice is consistently followed.
  • Build strong relationships with internal stakeholders and external suppliers.
  • Provide cover for the Administration & Facilities Manager when required.

About You

You'll be an experienced administration professional with previous team leadership experience and a proactive, solutions-focused approach.

You'll also have:

  • Previous experience leading or supervising an administration team.
  • Experience within a corporate, professional services, or financial services environment.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Experience managing vendors, invoices, budgets, or office expenditure.
  • Excellent stakeholder management and communication skills.
  • Strong attention to detail with a commitment to quality and accuracy.
  • A collaborative leadership style with the confidence to make decisions independently.
  • Strong Microsoft Office skills, including Outlook, Excel, Word, and PowerPoint.
  • An understanding of governance, compliance, and internal control processes.

Desirable

  • Qualification in Business Administration or a related discipline.
  • Portuguese language skills (advantageous but not essential).
