Job Overview

The Role

This is a central administrative support role within the Primary and Community Care Academy Team. The Academy delivers multi-professional education and training for:

  • Primary Care
  • Community Services
  • Complex and Long-Term Care Division

The role is primarily administrative but involves diverse projects and workflows. You will have significant scope to see your work positively impacting professional development—enabling high-quality patient care across Gwent.


Main Responsibilities

Core Duties

The Post-Holder will:

  • Deliver a comprehensive administration and coordination service to ensure smooth and efficient operations. Key tasks include:

    • Proactive planning/organisation
    • Close collaboration with team members and stakeholders
    • Prioritising workload while navigating planned and emerging demands
  • Utilise learning management and course booking software to manage:

    • Learning and development programmes
    • Attendee tracking
    • Report generation
  • Be part of the team managing single-point-of-access email queries, responding with professionalism, speed, and clarity

  • Liaise with:

    • Internal staff
    • Departments
    • External training providers to organise, book, and confirm training workshops
  • Maintain, update and manage databases in collaboration with key stakeholders

  • Ensure excellent record-keeping through:

    • Register management
    • Attendance reconciliation
    • Reporting across learning sessions
  • Partner with Primary and Community Care Academy to plan and develop learning programmes

  • Process procurement requisitions via the Oracle system

  • Coordinate and service meetings as required by the Academy

Qualifications & Experience

Essential Criteria

  • A solid general education foundation
  • NVQ Level 3 or equivalent qualifications

Desirable Criteria

  • ECDL/ICDL certification or equivalent ITdocumentation

Experience Criteria

  • Proven experience in administrative administration roles
  • History of implementing IT solutions for improving operations
