Office Support – Heating Maintenance Coordinator

Ref: ADM/07/26

About the Role

The selected candidate will play a critical role in coordinating jobs and communications between The H&A Group and Northern Ireland Housing Executive (NIHE). Based in our Maintenance Office, Tobermore Road, Draperstown, this position will act as the central point for accurate job processing, information management, and client/staff liaison.

Working Hours

  • Monday – Friday: 9:00 AM – 5:00 PM
  • Flexible Saturday Cover: 8:00 AM – 2:00 PM
  • On-call availability: 5:00 PM – 8:00 PM (Mon–Fri, as required)

Key Responsibilities

  • Client & Stakeholder Liaison
    • Respond to all enquiries from NIHE, tenants, private customers, and internal managers with timely clarity.
    • Ensure efficient communication and resolution of issues within contractual timeframes.

  • Job Coordination & Processing

    • Process and distribute all jobs submitted by NIHE in line with established procedures.
    • Support onsite engineers by ensuring they have the full necessary information to complete tasks effectively.
    • Log and update job records in the Accuserv system to maintain accuracy.
  • Information Management

    • Collate and present accurate data for supervisors/managers on demand.
    • Maintain the Company’s internal systems (e.g., logging, CRM, invoicing) to reflect current status.
  • Customer Service Excellence

    • Handle all interactions (NIHE, private, internal) with professionalism, efficiency, and a positive attitude.
    • Answer incoming calls promptly.

Personnel Specification

Essential Criteria

✅ Experience in office-based customer service ✅ Proficient Microsoft Office (particularly Excel) ✅ Over 1 year’s experience in a similar role ✅ Experience working with social housing providers ✅ Excellent communication skills (written & verbal) ✅ Strong organisational abilities

Desirable Criteria

🌱 Ability to work autonomously, using your own initiative 🌱 Collaboration skills – can work effectively in a team 🌱 Flexibility to relocate or support across other office locations as needed
