Administrator

Administrator – Justice and Immigration Team

Location: HMP Ashfield, BS16 9QJ Salary: £25,510 per annum (pro rata) plus excellent benefits Schedule: Part-time (24 hours per week), working Wednesdays, Thursdays, and Fridays Shifts available: 8am–4pm or 8.30am–4.30pm

Responsibilities

You’ll be entrusted with ensuring seamless operational efficiency in a high-security environment. This includes:

  • Correspondence and record-keeping:

    • Manage incoming and outgoing mail, emails, and documentation with accuracy and security.
    • Maintain electronic and manual records, updating systems and databases promptly.
  • Document preparation:

    • Collate, compile, distribute, and file reports and departmental documentation.
    • Ensure compliance with data protection standards (including GDPR).
  • Administrative support:

    • Organise meetings and events, including taking and distributing minutes.
    • Respond to departmental queries and support colleagues across the team.
  • Reporting and standards:

    • Produce correspondence, reports, and documents to high professional standards.
    • Support performance measurement, contractual outcomes, and KPIs.

Requirements

You’ll succeed in this role if you have:

  • Essential skills:

    • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
    • Experience in an administrative environment, including record-keeping and minute-taking.
  • Attention to detail:

    • Ability to process and manage complex records, correspondence, and documents.
  • Discretion and integrity:

    • Understanding of Data Protection and GDPR requirements.
    • The ability to handle confidential information with the utmost professionalism.
  • Organisational skills:

    • Strong problem-solving skills and the ability to prioritise tasks in a fast-paced setting.
  • Additional considerations:

    • Applicants must pass a Standard DBS check, covering both spent and unspent convictions.
    • Completion of an Occupational Health Questionnaire to support job suitability.
