Administrator
Administrator – Justice and Immigration Team
Location: HMP Ashfield, BS16 9QJ Salary: £25,510 per annum (pro rata) plus excellent benefits Schedule: Part-time (24 hours per week), working Wednesdays, Thursdays, and Fridays Shifts available: 8am–4pm or 8.30am–4.30pm

Responsibilities
You’ll be entrusted with ensuring seamless operational efficiency in a high-security environment. This includes:

Correspondence and record-keeping:
- Manage incoming and outgoing mail, emails, and documentation with accuracy and security.
- Maintain electronic and manual records, updating systems and databases promptly.

Document preparation:
- Collate, compile, distribute, and file reports and departmental documentation.
- Ensure compliance with data protection standards (including GDPR).

Administrative support:
- Organise meetings and events, including taking and distributing minutes.
- Respond to departmental queries and support colleagues across the team.

Reporting and standards:
- Produce correspondence, reports, and documents to high professional standards.
- Support performance measurement, contractual outcomes, and KPIs.

Requirements
You’ll succeed in this role if you have:

Essential skills:
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Experience in an administrative environment, including record-keeping and minute-taking.

Attention to detail:
- Ability to process and manage complex records, correspondence, and documents.

Discretion and integrity:
- Understanding of Data Protection and GDPR requirements.
- The ability to handle confidential information with the utmost professionalism.

Organisational skills:
- Strong problem-solving skills and the ability to prioritise tasks in a fast-paced setting.

Additional considerations:
- Applicants must pass a Standard DBS check, covering both spent and unspent convictions.
- Completion of an Occupational Health Questionnaire to support job suitability.
