Part-Time Administrator – Rail/Travel Support (Manchester)
Job Introduction
Carlisle Support Services are seeking a Part-Time Administrator to support one of our Rail/Travel contracts within the Manchester area.
Reporting to the Contract Manager and working alongside the Contract Administrator, this role involves the effective management of all administrative tasks relating to the contract and the smooth operation of the Manchester office.
A flexible and proactive approach is essential, working within a team to share knowledge and deliver the best solutions.

Core Responsibilities
Your role will include, but will not be limited to:
- Ordering and issuing uniforms, with care instructions
- Reporting equipment failures, property damage, repairs, or safety hazards
- Developing and maintaining strong relationships with client representatives
- Supporting the Operations team with management information, reports, and KPI data
- Assisting employees with general queries, directing them to the appropriate contact
- Recording Train Incident Reports daily
- Collating Failure to Purchase notices and forwarding them to the Debt Recovery & Prosecutions Unit
- Conducting telephone Back to Work Interviews pre-shift for returning staff
- Generating and distributing written correspondence, letters, and memos under direction from the Contract Manager
- Providing note-taking services and producing detailed meeting minutes
- Processing requests for employee uniforms, ID cards, and name badges
- Handling IT travel pass requests for new and existing staff
- Completing general office duties as requested
- Ensuring Data Protection Act compliance when handling personal information
- Undertaking additional duties as deemed necessary by your line manager

The Ideal Candidate
We are seeking an administrator with:
- Excellent communication skills, able to establish and maintain strong relationships across all levels
- Strong organisational and planning abilities suitable for a fast-paced security contract service
- Previous administration experience (desirable)
- A resilient, positive, and confident approach to work
- Proactive and customer-focused mindset
- Ability to work effectively within a collaborative team
- Commitment to building effective working relationships at multiple levels
- Flexibility to adapt to unforeseen circumstances and change
- Initiative to identify and communicate opportunities for process improvements

Working Arrangements
- Temporary Part-Time Full-Time Hours (24 hours per week, Monday-Friday)
Vetting Requirements: Successful candidates will be required to provide original documentation for a detailed screening and vetting process, potentially including:
- Passport/Driver’s license
- Utility bill (dated within last 3 months)
- HMRC letter
- Bank statement
- Payslip
- Birth certificate
- Valid CRB Share Code
