Administrator

The Vacancy

We are seeking a proactive and detail-oriented Administrator to support our vibrant Portman Court community in Uckfield, East Sussex. This role is central to delivering exceptional service and seamless support alongside our Registered Estate Manager.

  • Hourly Rate: £12.85 per hour
  • Hours: 7 hours per week, permanent contract (9am–4pm), flexible scheduling
  • Start: Correction of formatting artefact removed

Key Responsibilities

  • Diary & Calendar Management: Efficiently manage and coordinate appointments, meetings, and events for the Estate Manager and team.
  • Invoicing & Financial Administration: Prepare, issue, and track invoices using accounting software; manage petty cash and ensure accurate financial records.
  • Rostering & Scheduling: Oversee staff rotas, ensuring adequate coverage and compliance with staffing requirements.
  • Communication & Correspondence: Handle incoming and outgoing communications, including emails, phone calls, and postal mail.
  • Document Management: Maintain and organise physical and digital files, ensuring easy retrieval and compliance with data protection regulations.
  • General Administrative Support:
    • Assist with ordering supplies
    • Manage office equipment
    • Support team projects

Essential Qualifications & Skills

  • Proven experience in an administrative role, with a strong understanding of office management procedures.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with accounting software.
  • Strong organisational skills, with the ability to manage multiple tasks and priorities.
  • Excellent written and verbal communication skills.
  • Attention to detail and accuracy in all tasks.
  • Ability to work independently and as part of a team.

Desirable Attributes

  • Previous experience in a care or residential setting.
  • Knowledge of invoicing and financial procedures.
  • Experience with rostering and scheduling systems.
