About The Role

The Administrator position in Peterhead, AB42 2YY, is a temporary full-time role supporting the Estates team for a 12-week period. Working Monday to Thursday from 8:00am to 4:00pm, and Friday until 1:00pm, you will receive £16.85 per hour. This role involves providing administrative assistance, such as preparing reports, maintaining spreadsheets, managing calendars, attending meetings, and recording minutes. You will also operate the Maintenance Helpdesk. Strong organisational skills and attention to detail are essential for coordinating multiple priorities. An Enhanced Disclosure is required for this contract, offered through Pertemps Glasgow Contracts.

Hours: 8:00am – 4:00pm Monday to Thursday, 8:00am – 1:00pm Friday

Pay rate: £16.85

Key Responsibilities

As Estates Administrator, You Will

  • Provide comprehensive administrative support, including preparing reports, creating and maintaining spreadsheets, managing calendars, attending meetings, and producing accurate meeting minutes.
  • Operate the Maintenance Helpdesk, ensuring all maintenance requests are logged and allocated promptly to the appropriate maintenance personnel.
  • Coordinate planned and emergency reactive maintenance visits, acting as the main point of contact for contractors and service providers while ensuring resources are used effectively.
  • Maintain accurate records for Estates staff, including absence, annual leave, TOIL, overtime, and on-call rotas.
  • Update and maintain key computerised systems, including the Computerised Maintenance Management System (CMMS), Agresso Financial System, and internal attendance and training records.
  • Support procurement activities by processing orders, registering and receiving goods, and ensuring all procurement documentation is completed accurately and in line with organisational policies.

About You

The Successful Candidate Will Have

  • Previous experience in a busy administrative or office support role.
  • Excellent organisational skills with the ability to manage competing priorities.
  • Strong IT skills, including Microsoft Office applications, particularly Excel.
  • Experience using databases or computerised management systems (CMMS, Agresso or similar is desirable).
  • Excellent communication skills and the ability to liaise confidently with colleagues, contractors, and external service providers.
  • High levels of accuracy, confidentiality, and attention to detail.
