Location: Basingstoke
Contract: Office based, Full time, 12 month Fixed term contract, 37.5 hours per week, Monday to Friday 8.30am to 5.00pm
Salary: up to £26,227.50 per annum
We are looking for a proactive and organised Administrator to join our Basingstoke branch. In this key role, you will support our managers and teams by ensuring smooth, efficient administrative processes within the In Tenancy Team. This is a phone- and email-driven role, where your attention to detail and organisational skills will make a real difference. You’ll be responsible for booking property access, scheduling appointments, managing bookings, processing invoices, and maintaining accurate records. Your work will help drive business objectives forward while ensuring excellent service.
Key responsibilities:
- Coordinate and schedule appointments and property access efficiently.
- Monitor and manage several team inboxes.
- Manage bookings and maintain accurate, up-to-date records.
- Process invoicing and perform precise data entry.
- Liaise regularly with landlords, letting agents, occupants, subcontractors, and internal teams to ensure smooth communication and service delivery.
- Support managers with administrative tasks that help the branch achieve its objectives.
We’re looking for someone who is organised, can manage multiple tasks, detail-oriented, and thrives in a busy, collaborative environment.
Role Criteria
- Experience working within Customer Service.
- Strong communication skills, both written and verbal – ability to communicate at all levels.
- Excellent attention to detail when updating records and producing reports.
- Ability to work independently and collaboratively across teams.
- Skilled in managing and prioritising a large and varied workload.
- IT literate with experience using Microsoft Office packages, including basic Excel.
- Flexible and open to supporting other teams and ad hoc projects when required.
- Strong ability to work within a fast-paced environment.
- Resilient.
- Must have lived in the UK for a minimum of 5 years.

As part of the recruitment process for this role, we will carry out a Background, Identity, Security clearance & BPSS check. For these checks to be completed, we will require from you the relevant identification, including Proof of Address, References, a valid passport and proof that you have lived in the UK for the last 5 years. All our roles require candidates to have the entitlement to work within the UK, Mears does not currently offer visa sponsorship. To drive a Mears vehicle, you must be aged over 21, have held your licence over 3 months and have less than 9 points.
