Job Title: Administrator

Position Type: Up to 12 months fixed term contract (FTC) - Maternity Leave Cover

Grade: Pay Band 1

Salary: Circa £30K per annum depending on skills, knowledge, and experience

Location: Palestra (Southwark - London) / Hybrid

Hybrid working within this role enables a balance of 50 per cent of time split between the office and home over a 4-week period. Hybrid working arrangements can evolve subject to business requirements. For this role, there is a requirement to be in the office at least 3 -4 days per week.

Role Overview

This role is responsible for providing administrative support to the senior managers, managers, and team members (CPO office) to ensure that the relevant information is available for meetings, projects, and day-to-day activities.

Key Accountabilities

  • General coordination of the running of the office. Email management and liaising with other departments.
  • Undertake the team's purchases (by raising purchase requisitions and purchase orders) and invoice approvals to ensure that these are completed within the correct financial period.
  • Accountable for ensuring all tasks are delivered on time and to high-quality standards.
  • Undertake ad-hoc administration duties, information produced at workshops or events, etc.
  • No budgetary accountability but required to support the team in organising purchase orders and liaising with finance on accruals and budget forecasting.
  • Supporting with the coordination of purchasing and budget/procurement support activities (including raising POs, liaising with vendors and Finance).
  • Managing and responding to queries via the HR Admin inbox and several other HR inboxes.
  • Provide comprehensive support for Employee Relations (ER) activities.
  • Coordinating Long Service Awards for LU / TfL, including managing eligibility checks, liaising with internal stakeholders, arranging awards and communications, maintaining accurate records, and ensuring timely recognition in line with organisational policies and service milestones.
  • Overseeing Display Screen Equipment (DSE) and health, safety, and compliance requirements for the 8th floor CPO area, including coordinating DSE assessments, promoting ergonomic best practice, and ensuring appropriate safety measures are in place. This also includes maintaining up-to-date records and visibility of designated first aiders and fire wardens, and supporting compliance with statutory health and safety obligations.

  • Good written and verbal communication skills to be able to respond to correspondence in a clear and succinct manner (Essential)
