About the Role
As an Administrator at Xeinadin, you will play a pivotal role in supporting key Directors, Associate Directors, and wider teams, ensuring seamless day-to-day operations. This crucial role encompasses client engagement, compliance tasks, office efficiency, and supporting the dynamic needs of a growing business. Your proactive approach and high standards of accuracy will maintain operational excellence across all administrative functions.
Key Responsibilities
Client & Compliance
- Deliver exceptional client service—both in-person and via phone—creatively shaping a tailored, professional experience.
- Oversee and update client records, including:
- Engagement letters
- Identification verification
- Anti-money laundering (AML) documentation, ensuring regulatory compliance.
- Ensure GDPR compliance, managing sensitive data securely and efficiently.
Secretarial & Administrative Support
- Perform reception duties such as greeting clients, managing refreshments, coordinating phone/inbound communication.
- Provide secretarial support, including typing financial accounts, drafting engagement letters, and assisting with VATA-related documentation.
- Manage company secretarial tasks, e.g.:
- Company formations and filings
- Submission of statutory forms to Companies House for registration updates.

Office Functions
- Oversee office supply inventory, IT equipment and related requisitions.
- Facilitate day-to-day office operations, including ad-hoc tasks like banking, post office runs, and data processing.
Towards Efficiency & Service Excellence
- Maintain meticulous management of billing systems, update payment registers, and process client statements/payments.
- Prepare monthly and quarterly dividends and board meeting minutes as directed by Directors.
- Calendar management: Coordinate appointments, arrange meeting spaces (where applicable), and draft agendas/notes.
Key Requirements & Qualities
Experience & Technical Skills
- Previous administrative experience in a business support, accountancy, or client-facing role is strongly desirable.
- Technical competence: Full proficiency in Microsoft Office Suite, with additional skills in:

Compensation & Work Profile
- Salary: Competitive remuneration
- Location: Office-based in Enfield.
- Office hours: Aligned with Xeinadin business conventions (approximately standard Monday to Friday timings).
