About the Role
We are seeking a highly organised and reliable Administrative Support Specialist to provide strategic administrative and operational support to our management teams. This fully home-based role is critical in ensuring smooth operations, efficient workflows, and seamless coordination—primarily supporting managers based in the United States and senior leadership based in the UK.
The ideal candidate thrives in an independent, structured, and detail-oriented environment, demonstrating expertise in managing complex systems, prioritising tasks, and maintaining clarity across multiple stakeholders. Experience working with data, digital tools, and cross-functional teams is highly valued.
Key Responsibilities
Administrative Support
- Provide comprehensive administrative support to leadership, including:
- Calendar and meeting coordination (planning, organisation, follow-ups)
- Document preparation, formatting, and distribution of reports, presentations, and correspondence
- Systematic organisation, recording, and maintenance of files and information according to internal standards
- Managing email workflows, inquiries, and efficient routing of requests
- Travel and appointment coordination (arranging business trips, meetings, and schedules as needed)
- Leverage standard office systems and tools (e.g., MS Office Suite) to enhance daily administrative efficiency.

Operational & Cross-Functional Support
- Assist senior managers across finance, planning, HR, IT, and corporate services with specialised administrative tasks
- Support data tracking, report generation, and preparation of briefing materials for leadership discussions
- Act as a coordination bridge between managers and internal teams, ensuring clear communication and timely execution
- Proactively track action items, deadlines, and deliverables to ensure accountability and follow-through.
Organisation & Process Support
- Introduce order and structure into complex workflows by organising priorities, timelines, and business documentation
- Promote process consistency and identify opportunities to streamline administrative efficiency
- Work confidently with systems, data, and reporting tools, ensuring accuracy and transparency
- Handle sensitive and confidential information with the utmost professionalism and discretion.
Working Arrangements
- Fully remote, home-based position with flexible working hours by arrangement
- Supports US-based managers, although not restricted to their time zone
- Collaborative digital environment with no fixed office requirement.
Qualifications & Requirements
Requirements
- High School Diploma or equivalent
- Minimum 3 years of experience in administrative, secretarial, executive (or equivalent support roles)
- Exceptional organisation, prioritisation, and time-management skills
- Proficient in Microsoft Office Suite: Outlook (email/event scheduling), Word (document preparation), Excel (data management tracking), PowerPoint (presentation formats)
- Strong oral and written communication skills in English
- Ability to work independently in a remote self-managed environment.

Preferred Qualifications
- Experience supporting senior managers or leadership teams
- Background in international or matrixed environments (managing global stakeholder interactions)
- Comfortable handling complex data sets, analytics, and structured reporting processes.
