About the Role

We are seeking a highly organised and reliable Administrative Support Specialist to deliver high-level administrative and operational support to senior management teams, balancing a US-based client focus with mentorship from a UK-based leadership structure. This is a fully home-based (remote) position, ideal for someone who thrives in independent work, thrives under pressure, and excels in coordinating complex workflows, data, and cross-functional communication.

The ideal candidate is detail-oriented, proactive, comfortable navigating technical systems, and capable of maintaining clarity and efficiency in a dynamic environment.


Key Responsibilities

Administrative Support

  • Provide comprehensive administrative support including:
    • Calendar coordination, meeting management, and follow-up actions
    • Preparation, formatting, and distribution of documents, reports, presentations, and routine correspondence
    • Organising, recording, sorting, and maintaining files while adhering to internal standards
    • Managing email workflow, linking to key stakeholders, and escalating requests appropriately
    • Coordinating travel, meetings, and appointments for senior teams

  • Operate standard office systems (e.g., CRM platforms) to optimise daily operational efficiencies

Operational & Cross-Functional Support

  • Assist managers with administrative demands across:
    • Finance, planning
    • HR, IT
    • Corporate operations and regulatory compliance teams
  • Support data tracking, reporting, and materials preparation for executive decisions
  • Act as a coordination bridge between multiple teams and leadership, ensuring seamless communication

Process & Organisational Support

  • Introduce order to complex workflows by prioritising information, timelines, and KPIs
  • Promote consistency while identifying efficiencies and process improvements
  • Handle sensitive/confidential data with discretion and professionalism

Qualifications

Required

  • Degree or high school diploma and an equivalent certification
  • Minimum 3 years of experience in an administrative, secretarial, or similar role
  • Exceptional organisation skills, time management, and prioritization
  • Microsoft Office proficiency (Outlook, Word, Excel, PowerPoint)
  • Strong written and verbal communication skills in English
  • Ability to work independently in a fully remote setup

Preferred

  • Experience supporting executive teams or leadership
  • Background in international or multi-team (matrix) environments
  • Experience with structured reporting, data entry, and automated tools
