We’re looking to employ a motivated enthusiastic customer-focused Receptionist Administrator working to join our small but fast-paced Group Admin Team.
About the Role:
A Receptionist Administrator is responsible for supporting all teams with clerical jobs and administrative tasks through their contracted hours of work. They will act as the first line of contact for visitors to the business and handle and redirect incoming calls. The post holder may be required to work flexibly, in a rapidly developing office environment. It may be necessary in future to assist or cover for other administrative staff from time to time and performing other duties to support the overall goals of the department.
The role is in person at our Head Offices, working 8.00am to 4.30pm Monday to Friday.
Responsibilities:
- Manage, organise and update relevant data using database/spreadsheet applications
- Order and maintain relevant office supplies for the effectiveness of the Company’s operations.
- Loading and unloading the dishwashers and ensuring the store cupboards are locked at the end of the day if required
- Adhere to stated policies and procedures relating to health, safety, emergency arrangements and quality management
- Establish and maintain effective working relationships with co-workers, managers and visitors
- The role may involve additional duties as assigned to meet the needs of the team or organisation
- Perform reception duties in an efficient, professional and courteous manner
- Ensure all visitors are recorded in the visitor book
- Ensure all staff sign in and out
- Answer telephone calls and log information on calls received, where required and maintain detailed and accurate records
- Pay fines
- Greeting and welcoming client and visitors and directing them to the correct person in the organisation
- Providing refreshments to visitors - ordering these online as requested
- Arrange and participate in meetings (when required), book and prepare meeting rooms and provide/arrange hospitality
- Collecting, opening, date stamping and distributing mail
- File data and perform other routine clerical tasks as assigned and for Directors and Managers as required
- Interpret instructions and issues arising, and then implement actions according to administrative policies and procedures
- Make bookings: trains and travel arrangements, flights, hotels and other accommodation
- Organise hotels and restaurants for York races or other company events on an annual basis if required
- Book tables at restaurants when required
- Organise donations for charities
- Ensuring that the meeting room(s) and bar area are cleared after use (load dishwasher, food disposal or in fridge)
- Maintain the reception area to ensure that it is looking tidy
- Operate a variety of standard office machines, including a personal computer and a variety of computer software, phone, binding, laminating and photocopy machines
- Communicate and provide information by relevant methods internally and externally to assist and enable company operations and effective service to clients and suppliers
- Communicate and liaise verbally and in writing between Customers, Suppliers, Visitors, Enquirers and Staff
- Interpret and respond clearly and effectively to spoken requests over the phone or in person and to verbal or written instructions
- Maintain portals

Essential Experience/Qualifications:
- English & Maths GCSE or equivalent
- Must be customer service-focused
- Proficient in Microsoft packages (Outlook, Word, Excel, PowerPoint)
- Personal work planning and organisational skills
- Excellent verbal and written communication skills
- Meticulous and detail-oriented
- Problem solving
- Ability to work well under pressure.
- Ability to work well within a team as well as the initiative to work sufficiently alone
- Sensitivity and understanding
- Willing to learn and adapt to new systems and procedures.
- Self-motivated and enthusiastic worker
