Salary: £25,877.80 - £28,454 per annum
Please note: The salary listed reflects the full earning potential for this role. Starting salaries depend on experience and progression within the band.

About the Role

Forward Leeds is looking for an organised, professional, and customer-focused Receptionist/Admin Assistant to join our busy team based at Kirkgate. This is an exciting opportunity to play a key role in supporting the day-to-day running of the service, providing a welcoming and efficient reception function while delivering high-quality administrative support to colleagues, service users, visitors, partners, and external stakeholders.

As the first point of contact for the service, you will help create a positive experience for everyone who accesses Forward Leeds, ensuring enquiries are handled professionally and efficiently while supporting the wider team to deliver excellent services across Leeds.

Key Accountabilities:

  • Act as the first point of contact for employees, visitors, partners, and external stakeholders, ensuring all enquiries are appropriately supported, signposted, and responded to.
  • Provide a welcoming, professional, and confidential reception service, delivering high standards of customer care at all times.
  • Manage enquiries received via telephone, email, and in person, escalating issues where appropriate.
  • Maintain the reception environment and support the smooth running of the office, including managing post, deliveries, visitor sign-in processes, and meeting room preparation.
  • Provide administrative support across the service, including maintaining accurate records, updating electronic systems, and supporting referral and appointment processes.
  • Support meetings through agenda distribution, information gathering, and minute taking where required.
  • Manage shared email inboxes and assist with a range of administrative and organizational tasks.
  • Liaise effectively with partner agencies and stakeholders to support service delivery.
  • Assist with data collection, reporting requirements, and quality assurance processes.
  • Support service improvement by identifying issues, suggesting solutions, and contributing to operational projects and objectives.
  • Undertake training, supervision, and continuous professional development activities as required.
  • Work in accordance with all relevant legislation, policies, procedures, and organizational values.

Skills and Experience:

  • Experience in an administrative, reception, or customer service role.
  • Excellent interpersonal, organizational, and communication skills.
  • Ability to communicate effectively with a wide range of people both verbally and in writing.
  • Proficient in Microsoft Office applications, including Outlook, Word, and Teams.
  • Ability to manage competing priorities and work effectively within a busy environment.
  • Experience maintaining accurate records and handling confidential information with discretion and sensitivity.
  • Experience working within a healthcare, social care, education, or customer-facing environment would be advantageous.
  • A proactive and flexible approach, with the ability to work independently and as part of a team.
