About Shaftesbury Statement
Shaftesbury is a disability charity offering care, education, vocational and rehab services. The charity also provides residential care, nursing and supported living.
Within the education sector, Shaftesbury has one school, Shaftesbury Victoria School, and 2 further education colleges, Shaftesbury Millie College and Shaftesbury Nash College. The school is for students aged 3-19, and the colleges are for students aged 16-25. All students have an Education, Health and Care Plan (EHCP), as well as physical and/or intellectual disabilities, and some have profound and complex learning needs.
About Shaftesbury Millie College
Shaftesbury Millie College is an education setting for students, aged 16 to 25yrs, and helps young people with a range of learning and physical disabilities in Dorset, and the local area, bridging the gap between education and employment.
It is a one-of-a-kind work environment, set on a 350-acre countryside site near Poole. The college’s curriculum is directly aligned to its natural environment and the enterprise activities that operate there, including animal care, catering and retail, conservation and horticulture.
Students are supported with personalised learning programmes which build confidence and independence, underpinned by a focus on wellbeing.

About The Role
We are looking for a professional administrator to provide efficient and effective support across admissions, student transition and wider college administration functions. This pivotal role supports students throughout their journey with Millie College, from initial consultation and admissions through to enrolment, annual reviews and transition planning.
You will be responsible for providing high-quality administrative services in support of the College admissions process together with maintaining information databases, assisting with the production of college documentation, scheduling meetings and supporting the admin team covering reception.

Alongside admissions administration, you will support EHCP processes, annual reviews, student transition activities, training administration and general college administrative functions. You will assist with maintaining student databases, coordinating meetings with families and professionals, monitoring shared mailboxes and supporting reception duties, helping to ensure the smooth day-to-day operation of the College.
This is an exciting opportunity to join the College’s growing team of professional administrators who provide the critical link between staff, students, parent/carers, Local Authority SEND Teams and other external professionals.
The successful candidate will be enthusiastic, self-motivated, proficient in O365 and have a genuine passion for accurate and detailed administrative processes. You will need a calm and adaptable approach and a willingness to learn, contribute ideas and undertake further training, as required.
Key Responsibilities
- Supporting admissions, transition planning, annual reviews and EHCP-related processes.
- Maintaining accurate student records, databases and electronic filing systems.
- Coordinating meetings with parents, students, local authorities and external professionals.
- Producing reports, letters and meeting documentation using Microsoft 365 and SharePoint.
- Monitoring and responding to enquiries via telephone, email and reception.
- Supporting college events, open days and transition activities.
- Maintaining training records and assisting with staff training administration.
- Assisting with general college administrative duties and reception cover.
You will be encouraged to participate in relevant training, meetings, and events, supporting your professional growth through a Personal Development Plan.
Essential Skills & Qualifications
- Excellent organisational skills and attention to detail.
- Strong written and verbal communication skills.
- High level of proficiency in Microsoft 365 including Outlook, Teams, Excel and SharePoint.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Experience working in a busy administrative environment.
- Ability to prioritise workload, meet deadlines and work independently.
- Strong interpersonal skills and ability to build positive working relationships.
- Willingness to learn, develop and undertake further training.

Desirable Experience
- Experience working within education, SEND, healthcare or local authority settings.
- Knowledge of EHCPs, annual reviews and transition planning processes.
- Experience using management information systems or student databases.
