AI Business Analyst / Knowledge Architect (Contract)
6 Months Initial Contract – Must Work from the UK
Alto Software Group (ASG) is a leading B2B SaaS platform serving the UK property industry. We power thousands of estate agency branches and support a significant proportion of UK housing transactions each year.
We are building a data-driven, operationally efficient platform business. AI will be a structural lever in improving internal productivity, reducing operational cost, and enhancing customer experience.
This is a discovery and enablement role responsible for finding the workflows AI should transform and structuring the knowledge AI depends on.
The Role
We are hiring a contract Business Analyst / Knowledge Architect to act as the discovery engine for ASG’s internal AI programme.
You will:
- Map how work actually gets done across the business
- Identify and quantify the inefficiencies worth automating
- Structure organisational knowledge so AI systems can use it reliably
You will work cross-functionally across Customer Operations, Marketing, Education, Training, Finance, and Strategy to:
- Map current-state workflows and quantify manual effort and bottlenecks
- Translate findings into clear, prioritised requirements for automation delivery
- Design the taxonomies and knowledge structures that power AI-enabled tools
- Turn scattered documentation into structured, AI-ready knowledge bases

Core Responsibilities
Workflow Discovery & Analysis
- Map current-state workflows across functions through interviews, observation, and system data
- Identify and quantify inefficiencies, manual effort and bottlenecks
- Build the business case for each automation opportunity:
- Baseline metrics
- Expected ROI
- Margin impact
- Translate findings into clear requirements for the AI Engineer and delivery teams
Knowledge Architecture
- Design taxonomies and knowledge structures for company documentation
- Audit, clean, and restructure existing SOPs, policies and training content for AI consumption, including RAG knowledge bases
- Establish documentation standards:
- Format
- Ownership
- Review cadence
- Work with the AI Engineer to ensure knowledge bases serve retrieval pipelines accurately
Process Documentation & Adoption
- Produce SOPs, process maps and RACI documentation where needed
- Support adoption with playbooks and training materials
- Track realised benefits after each automation is deployed
What Success Looks Like (6–12 Months)
- Priority workflows mapped, with quantified baselines and a costed opportunity backlog
- A structured, AI-ready knowledge base covering priority domains
- A steady requirements pipeline feeding automation delivery
- Documentation standards adopted and owned by the business

Required Experience
Analysis & Knowledge Management
- Proven business analysis experience in SaaS or technology environments
- Strong process mapping and discovery skills (BPMN or similar)
- Experience in knowledge management or information architecture:
- Taxonomies
- Content structuring
- Metadata
- Familiarity with how LLMs consume knowledge (RAG awareness) is highly desirable
- Experience with documentation platforms such as Confluence, Notion, or similar
- Working data literacy: SQL desirable
Ways of Working
- Skilled at stakeholder interviewing and eliciting how work actually gets done
- Able to quantify processes (cycle times, volumes, cost of manual effort)
- Track record of delivering as a contractor with clean documentation and handover
